Job Purpose:
To set up the People & Development (P&D) function in Tokyo in readiness for Spring 2026 opening, aligned with Soho House culture and global standards, ensuring compliance with Japan’s employment laws and building an inclusive, high-performing work environment.
To lead on all recruitment activity, pre and post-opening, and ensure alongside rest of the team, all P&D administration is compliant.
Main Duties:
General
-
- To be the first point of contact for all employees and deal with day to day queries and requests
- To process any promotions and transfers (internally and externally)
- To support with recruitment using ATS (Greenhouse). This will include posting job vacancies, screening CV’s, inviting candidates for interviews and following up on the outcome
- To support Department Heads with any disciplinaries
- To plan monthly social and well-being activities for the team all year round including an annual summer party)
- To maintain accurate HR metrics (e.g. headcount, turnover, absenteeism) and provide monthly reporting to the General Manager and People Manager.
- To ensure all HR policies, handbooks and procedures are localized and kept up to date in line with Japanese labour law and Soho House global policies
Pre-opening

- To set up benefits and ensure we are competitive.
- To lead on the recruitment for the opening, working with agencies, partners and Hotel Schools
- To co-ordinate a recruitment plan and prepare for mass hiring.
- To work with P&D Director UK, Europe & Asia on Club School and the onboarding process for the opening.
- To support with preparing the employee back of house areas.
- To support with the set-up of HR systems (HRIS, payroll, time attendance) ensuring local compliance and accuracy.
- To coordinate with legal advisors on employment contracts, work rules, and other statutory documents.
- To develop onboarding and pre-opening training materials in collaboration with the global P&D team
Operational
Administration
- To support with processing employee administration in line with company policy and local guidelines.
- To conduct exit interviews and collate themes to present to the People Manager and General Manager.
- To ensure accurate employee data management and confidentiality in line with local privacy laws.
Recruitment
- To post advertise job opportunities for Department Heads who are responsible for reviewing and responding to applications, organising interviews and practical assessments and checking ‘right to work’.
- To assist with organising, promoting employer branding activities (e.g. host a recruitment event, visiting Hotel Schools & Colleges) across the region.
- To interview all roles up to Department Head.
Employee Relations
- To work closely with Department Heads providing support where necessary e.g. investigations.
- To support with grievances and implement disciplinary procedures.
- To support with monthly roundtables ensuring minutes are displayed and following up with Department Heads on actions.
- To act as a trusted advisor to managers on employee relations and conflict resolution.
- To proactively identify potential employee relations issues and recommend preventive actions.
- To foster an open and inclusive communication culture.
Benefits, Recognition & Rewards
- To co-ordinate with Department Heads to recognise a monthly or quarterly House Hero (or equivalent) and Manager of the Quarter.
- To support with the planning of the annual employee party.
Learning & Development
- To support with the delivery of Company Induction
- To work with People Manager and regional Learning & Development Manager and deliver the pre-manager, manager and HOD modules.
- To support the regional Learning & Development Manager by promoting Soho Learn and Cook House & House Tonic Calendars and encouraging managers to attend and sign up their teams.
- To support House Trainers in delivering the monthly Soho Learn focus. House Trainers are responsible for facilitating and co-ordinating training across the site as and when required.
- To support talent and succession planning initiatives.
- To identify training needs based on performance reviews and operational requirements.
Other
- To assist the People Manager as and when requested with delivering any projects as directed by the People & Development Director.
