Why we're hiring:

The WPP team is looking to add a People Coordinator to support US/NYC-based activity for our People Operations team in London. Reporting to the People Operations Manager in London, this hire will help to deliver core HR support to our US colleagues. This role will have a secondary line reporting to an HR Director, Business Partner in NYC, with whom you will work closely on a daily basis It's a fantastic opportunity to join a global effort! 

What you'll be doing:

  • Be the first point of contact for all US based HR-related queries specific to this group
  • Ensure the HR database is up to date, ensuring joiners, movers and leavers are 100% accurate
  • Ensure headcount reports are accurate and provide timely standard reports
  • Manage the HR Inbox, responding to all US employee queries in a timely manner and escalate where appropriate
  • Manage the end-to-end new joiner process, from receipt of offer letter to the day 1 induction, including adding employees to the relevant systems and benefits, liaising with line managers to ensure appropriate induction plans are in place and ensuring coordination of IT equipment.
  • Ensure a best-in-class onboarding process for new joiners
  • Manage the end-to-end leaver process, ensuring equipment is returned and all systems access is disabled
  • Provide calendar/diary scheduling support
  • Complete and submit the monthly payroll amendment file, including details of new joiners, leavers and amendments
  • Provide basic HR advice and support to employees, explaining procedures and policies and escalating appropriately where needed to the HR Business Partners
  • Responsible for regular audits of electronic employee files, ensuring legal compliance.
  • Produce and send letters as required, for example confirmation of maternity leave, contract amendments and flexible working
  • Administer the probationary review time periods and send reminders to line managers.
  • Assist the HR team with the maintenance and development of human resource procedures and policies
  • Provide administration and reporting support for the annual performance review, pay review, and reward cycles
  • Minute taking and meeting summary notes
  • Raise POs and ensure invoices are paid in a timely manner
  • Support ad-hoc projects as and when requested by the HR team

What you'll need:

  • Previous HR Administrative experience via internships or another entry-level HR role is highly desired
  • Discretion and ability to handle confidential matters
  • Experience of using a HR system
  • General understanding of payroll processes /or willingness to learn
  • Understanding of US Employment law
  • Interest in HR practice and basic understanding of HR best practice tools
  • Strong administrative & organizational skills
  • Solid PC skills MS Office suite
  • Professional communication skills (written and verbal)
  • Ability to prioritize tasks, work at pace and work to a tight deadline
  • Strong team working and relationship-building skills
  • Strong attention to detail and a high degree of accuracy
  • Ability to use own initiative and attention to detail
  • Excellent multi-tasking ability
  • Ability to adapt quickly to change and cope well with ambiguity
  • Prior exposure to international efforts is not at all required, but a major plus

The base salary range for this position at the time of this posting is indicated below. Individual compensation varies based on job-related factors, including location, business needs, level of responsibility, experience, and qualifications.
