About the Role
As People and Culture Executive for Four Seasons Hotel Hanoi at Hoan Kiem Lake, you will an integral part of the People and Culture Department. From the recruitment and selection process to orientation, training, benefits administration, communication and overall employee relations, People and Culture is there for all employees. This position assists with general employee and applicant inquiries, handles all incoming calls, provides employment verifications, processes a variety of reports, maintains all general employment files, and assists with a variety of employee events and initiatives in addition to other administrative duties. The People and Culture Executive handles every task with integrity and confidentiality. This highly visible role also provides administrative support to the People & Culture and Learning & Development teams.
What You Will Do
Administrative & Operational Support
- Perform administrative tasks and respond to employee queries promptly and professionally.
- Support daily operations of the People & Culture Department.
- Maintain confidentiality of all departmental information, including conversations, personal data, and employee files.
- Prepare and analyze People & Culture metrics and reports.
- Participate in special projects or cross-functional initiatives as assigned by management.
Performance & Compliance
- Ensure timely completion of employee performance reviews and preparation of confirmation letters.
- Oversee work pass quota and ensure compliance with the government guidelines.
- Handle insurance and workplace safety matters in accordance with company policies.
Employee Services & Benefits
- Assist employees with medical reimbursement procedures and ensure timely processing of medical, dental, and optical claims.
- Administer Employee of the Month program.
- Maintain and update bulletin boards with relevant information.
Learning & Development
- Support the Learning and Development Manager with all training administration tasks.
Recruitment & Onboarding
- Support recruitment, selection, and onboarding processes to ensure a seamless experience for new hires.
Employee Engagement & Communication
- Manage employee engagement initiatives and internal communication strategies.
- Assist in executing recognition programs and milestone celebrations.
Others
- Ad-hoc assignments: To take on any other tasks or projects that may be assigned by the management from time to time.
- Carries out other special project/ tasks as assigned by supervisor.
What You Bring
- Minimum Diploma/Degree from a recognized institute, preferably in Human Resource Management, Business Management, or Communications.
- 1–2 years of administrative experience, preferably within People & Culture / Human Resources.
- At least 2 years of relevant experience in a dynamic, fast-paced working environment preferred.
- High level of professionalism, integrity, and confidentiality.
- Strong presentation, verbal, and written communication skills.
- Proficient in Microsoft Office Suite, Canva, Forms, Engage, and HRIS systems such as Workday.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
- Ability to interact effectively with all levels of management and staff.
- Ability to work independently, take initiative, and use good judgment.
- High emotional intelligence coupled with excellent communication skills.
- Experience in hospitality or hotel industry preferred.
- Fluency in English required.
