Payroll Sr. Specialist

The Opportunity:

Under limited supervision, prepare and process payroll and other financial documents. Review, calculate and process payroll changes and adjustments. Review and reconcile payroll records for accuracy. Prepare and execute state and federal payroll taxes. Provide information to employees and outside agencies regarding payroll issues. Calculate and process all elected and mandatory payroll deductions including taxes, child support orders, insurances and garnishments.

Prepara y captura las incidencias de las nóminas que correspondan al periodo y tipo de nómina. Ejemplos de incidencias: vacaciones, prima vacacional, horas extras, tercer turno, bonos de puntualidad, asistencia, seguridad y productividad, inasistencias, incapacidades, descuentos de comedor, pensiones, altas y bajas de empleados, modificaciones de salario/puesto/categorías, etc. Procesa las nóminas en el sistema y genera los reportes correspondientes (dispersión de nómina, póliza contable, reporte de nómina, reporte de impuestos, reporte de vales de despensa, y reporte de fondo de ahorro). Genera los recibos CFDI y XML de los empleados. Sube la dispersión de los pagos de nómina en Citi Direct, vales de despensa en Si Vale, y fondo de ahorro en Actinver Administra el fondo de ahorro (altas, aportaciones semanales y quincenales, solicitud de préstamo, bajas y liquidaciones). Calcula y paga las cuotas obrero/patronales del IMSS; las aportaciones de  INFONAVIT, retiro y cesantía en edad avanzada; y el pago de las amortizaciones de créditos de INFONAVIT. Determina y calcula las variables bimestrales para las modificaciones de salario diario integrado ante el IMSS, de acuerdo al Art. 27 y 30 de la Ley del Seguro Social. Genera reporte y determina el impuesto sobre erogaciones por remuneraciones al trabajo personal del Estado de México; captura información en el sitio web de “Servicios al Contribuyente del Edo. Mex.” y tramita pago. Presenta declaración informativa de impuesto sobre erogaciones por remuneraciones al trabajo personal. Prepara y calcula las indemnizaciones y separaciones voluntarias, aplicando los criterios que marca la Ley Federal del Trabajo e Impuesto sobre la Renta. Elabora, concilia y depura las pólizas contables de las nóminas; de impuestos; y de provisiones de gastos relacionadas a diversos beneficios de los empleados. Calcula y paga el reparto de utilidades correspondientes (PTU), y hace presentación ante el sindicato. Elabora el presupuesto anual de sueldos y salarios y gastos del área. Calcula el impuesto anual y realiza los ajustes de impuestos a los empleados. Responsable del contacto y entrega de información para los dictámenes del IMSS, INFONAVIT y 3% de impuestos sobre nóminas estatal. Reportes especiales que solicite el corporativo sobre información de nóminas y empleados. Seguimiento a renovación de beneficios como seguro de vida y gastos médicos mayores Reporta indicadores de recursos humanos a corporativo cada mes y participa en las sesiones trimestrales. Atiende auditorias y visitas de autoridades como STPS, IMSS e INFONAVIT. Proporciona servicio y asesora a empleados en temas relacionados a la nómina y beneficios adicionales. Apoya en coordinar eventos y actividades de la empresa tales como capacitaciones, eventos de team building, town hall.

Asiste en el proceso de reclutamiento y selección, así como en el proceso de on boarding.

Coordina la compra y entrega a tiempo de los beneficios de contrato colectivo (Uniformes, Calzado de seguridad, Toallas, Despensas de fin de año) Dar servicio al personal sindicalizado y no sindicalizado en relación con el Contrato Colectivo de Trabajo, Ley Federal del Trabajo y políticas internas de la compañía

Dar seguimiento a la NOM-035-STPS-2018, Factores de riesgo psicosocial en el trabajo-Identificación, análisis y prevención, mediante la comunicación a empleados y el plan de acción. Realiza otras funciones que le sean asignadas.

Prepares and captures the incidents of the payrolls that correspond to the period and type of payroll. Examples of incidents: vacations, vacation bonuses, overtime, third shift, punctuality bonuses, assistance, security and productivity, absences, disabilities, dining room discounts, pensions, employee registrations and cancellations, salary/position/category modifications, etc. It processes payroll in the system and generates the corresponding reports (payroll dispersion, accounting policy, payroll report, tax report, pantry voucher report, and savings fund report). Generates employee CFDI and XML receipts. The dispersion of payroll payments in Citi Direct, pantry vouchers in Si Vale, and savings fund in Actinver increases Manages the savings fund (registrations, weekly and biweekly contributions, loan application, cancellations and settlements). Calculates and pays the IMSS worker/employer dues; THE contributions of INFONAVIT, retirement and unemployment in old age; and the payment of INFONAVIT credit repayments. Determines and calculates the bimonthly variables for the modifications of the daily salary integrated before the IMSS, in accordance with Articles 27 and 30 of the Social Security Law. Generates a report and determines the tax on expenditures for remuneration to personal work of the State of Mexico; captures information on the "Edo Taxpayer Services. Mex." and process payment. Submits an informative tax return on expenditures for remuneration to personal work. Prepares and calculates voluntary compensation and separations, applying the criteria set by the Federal Labor law and income tax. Prepares, reconciles and cleans payroll accounting policies; taxes; and provisions for expenses related to various employee benefits. It calculates and pays the corresponding profit sharing (OCT), and makes a presentation to the union. Prepares the annual budget of salaries and salaries and expenses of the area. Calculate the annual tax and make tax adjustments to employees. Responsible for the contact and delivery of information for the opinions of the IMSS, INFONAVIT and 3% of state payroll taxes. Special reports requested by the corporate on payroll and employee information. Follow-up to renewal of benefits such as life insurance and major medical expenses Reports human resources indicators to corporate every month and participates in quarterly sessions. Attends audits and visits by authorities such as STPS, IMSS and INFONAVIT. Provides service and advises employees on payroll and additional benefits issues. Supports in coordinating events and activities of the company such as trainings, team building events, town hall.

Assists in the recruitment and selection process, as well as in the onboarding process.

Coordinates the purchase and on-time delivery of collective bargaining agreement benefits (Uniforms, Safety Footwear, Towels, Year-End Pantries) Provide service to unionized and non-unionized personnel in relation to the Collective Labor Agreement, Federal Labor Law and internal company policies

Follow up on NOM-035-STPS-2018, Psychosocial risk factors at work-Identification, analysis and prevention, through communication to employees and the action plan. Performs other functions assigned to it. Position eligible for flexible working according to business needs.

Preferred Qualifications:

  • Experience with Workday PECI integrations (desired)

  • Experience using third-party payroll vendors such as ADP or Safeguard

  • B-1/B-2 level of English, both spoken and written, preferred, not required

  • Ensure that all employees are paid accurately and on time, ensuring compliance in line with local laws as well as internal company policies.

  • Collaborate with multiple stakeholders to ensure all necessary payroll changes are incorporated into payroll on a timely basis.

  • Assume full responsibility for the checking of trial and final payroll outputs which includes pay slips, gross to-net reports, pay period variance analysis, payment files, and statutory filings

  • Ensure accurate pay period end and month end reporting including the creation and reconciliation of payroll journals & support the finance team with open queries

  • Process off-cycle payments including final salary, bonuses, and commissions 

  • Provide hands-on support to queries received from employees, HR, supervisors, managers, and the local government offices in a timely manner

  • Ensure all statutory filings, tax returns, and statutory reports required by local authorities are submitted in line with locally defined deadlines.

  • Stay updated on local legislation.  In collaboration with the external payroll vendor, ensure compliance across the payrolls you manage

  • Prepare monthly, quarterly, and annual payroll reports for internal stakeholders, including finance and HR.  

  • Ensure all process documentation is kept up to date

  • Support internal and external payroll audit requests

  • Demonstrate complete discretion and confidentiality

  • Assist with other payroll and accounting projects
