The Role & What You Will Be Doing

Are you an experienced payroll professional with deep knowledge of end‑to‑end payroll processing and a strong understanding of related HR and Finance workflows? We are looking for a detail‑oriented, proactive Payroll Specialist to take ownership of the Polish payroll and ensure its accurate, timely, and fully compliant execution.

In this role, you will serve as a subject-matter expert on payroll operations, Polish tax and social security regulations, and employee payroll‑related inquiries. You will work closely with HR, Finance, cross‑functional stakeholders, and our external payroll provider to deliver seamless monthly payroll operations and drive continuous improvement.

Key Responsibilities

  • Payroll Processing & Administration
  • Collect, review, and consolidate payroll inputs from multiple internal stakeholders to ensure accurate payroll processing across monthly cycles.
  • Manage system updates when needed and coordinate data flow between HR, Finance, and the payroll vendor.
  • Validate monthly payroll output files, reconcile discrepancies, process necessary corrections, and prepare final payroll data for approval.
  • Ensure that all payroll transactions are processed accurately, on time, and in accordance with Polish labor, tax, and social security laws.

Employee & Vendor Support

  • Act as the first point of contact for employees regarding payroll questions, ensuring timely, clear, and customer‑focused support.
  • Serve as the primary liaison for the external payroll provider, maintaining daily communication, resolving issues, and ensuring high‑quality service delivery.
  • Partner with HR, the People Solutions Center, Finance teams, and the payroll provider to enable error‑free payroll each month and resolve escalations quickly.

Finance Integration & Compliance

  • Review, prepare, and forward accounting files and payroll‑related financial reports to Finance; respond to basic accounting and reconciliation questions.
  • Prepare and submit statutory filings, including tax, social security, and other mandatory submissions.
  • Maintain strong knowledge of Polish pension schemes (PPK/ZUS)
  • Monitor regulatory updates and ensure payroll processes remain compliant with all Polish legislative requirements.

Continuous Improvement & Projects

  • Identify opportunities to enhance payroll processes, improve data accuracy, and strengthen internal controls.
  • Support payroll‑related projects, audits, and cross-functional initiatives as required.
  • Contribute to knowledge sharing and best practices across the payroll team, including supporting learning for other markets where needed.

Minimum Qualifications

  • Bachelor’s degree (or equivalent) or 2–3 years of relevant experience—any combination of education and experience will be considered.
  • Polish payroll experience is mandatory, with strong working knowledge of Polish labor law, tax regulations, and social security administration.
  • Strong customer service orientation with the ability to communicate professionally and effectively at all levels, both verbally and in writing.
  • Ability to quickly learn and retain information related to HR policies, programs, and payroll processes.
  • Excellent interpersonal skills, with the ability to collaborate in a fast‑paced, multinational environment.
  • Strong Excel skills and the ability to analyze, interpret, and present payroll data clearly.
  • Openness to learning payroll operations for additional countries.
  • Fluent English required, with the ability to interpret business and technical information and communicate complex concepts to managers and stakeholders.
