SUMMARY
The Payroll, Benefits, and Compliance Administrator APAC ensures payroll, benefits, and statutory taxes are processed accurately and delivered on time for the Center of Excellence (CoE), while upholding process compliance integrity across all payroll and benefits activities.
The Payroll, Benefits, and Compliance Administrator APAC administers payroll operations, manages HRIS updates for onboarding, exits, and employee data changes, and drives benefit program administration while supporting rewards implementation. The role ensures adherence to statutory and organizational standards, partners with stakeholders to maintain data accuracy, enhances process efficiency, and provides employees with reliable payroll and benefits support.
ROLES & RESPONSIBILITIES
- Manages end-to-end payroll processing, including salaries, benefits, garnishments, deductions, taxes, and third-party payments, to ensure accurate and timely salary disbursement
- Administers statutory contributions including Provident Fund (PF), Employees State Insurance Corporation (ESIC), Professional Tax (PT), Labour Welfare Fund (LWF), and all other applicable statutory requirements in respective portals to ensure compliance with regulations
- Ensures payroll processes comply with internal policies, payroll tax obligations, applicable labor law requirements, and internal control standards to maintain legal, organizational, and audit adherence
- Reviews and updates payroll processes regularly to improve efficiency and strengthen compliance practices
- Manages integration between timekeeping systems and payroll processing and collaborates with departments to resolve discrepancies to ensure accuracy in employee hours and pay.
- Manages updates to payroll systems and processes to capture changes such as new hires, terminations, salary changes, promotions, transfers, benefits modifications, and other employee profile updates to maintain accurate and compliant records
- Leads the implementation and communication of organization-wide benefits plans and statutory programs to ensure employees understand their benefits and available options
- Recommends and implements discretionary perks and benefits programs to enhance employee satisfaction and retention
- Represents the company in negotiations with insurance vendors and brokers to secure favorable terms and pricing for employee benefits
- Manages monthly billings from insurance providers and other vendors including reviewing billings for accuracy, coding, and payment processing to ensure cost control and accuracy
- Contributes to the design, configuration, and communication activities related to ongoing and annual benefit enrollment processes to improve employee experience
- Liaises with auditors and manages payroll tax audits to ensure compliance with regulatory requirements and promptly address any issues raised
- Collaborates with Human Resources (HR) and Finance teams to align payroll processes for accuracy, efficiency, and consistency
- Generates and manages employee letters for salary revisions, promotions, and bonus payouts to ensure accurate communication and compliance with organizational policies
- Maintains accurate records and prepares reports and dashboards; compiles post-payroll accounting transactions and reporting
- Resolves payroll discrepancies and processing issues to maintain employee trust and ensure accuracy
- Addresses payroll-related employee queries to resolve concerns in a timely manner and ensure employee satisfaction
- Ensures confidentiality and data integrity of all payroll, benefits, and employee records to uphold trust and regulatory compliance
- Identifies opportunities to streamline, digitize, and automate payroll and benefits processes to drive efficiency and accuracy
- Manages relationships with payroll service providers, benefits vendors, and government agencies to ensure smooth operations and timely compliance
- May perform other duties as assigned by management
SKILLS AND KNOWLEDGE
- Extensive experience administering India payroll and benefits programs, with applied knowledge of taxation and ability to research and implement new requirements within systems
- Experience applying payroll procedures and labor law compliance requirements, with commitment to staying updated on regulatory changes
- Proficiency in payroll software, HRMS and Microsoft Excel to update, maintain, and analyze payroll data, ensuring accurate processing, reporting, and compliance
- Ability to identify discrepancies, perform reconciliations, and deliver error-free payroll processing within deadlines
- Ability to organize and prioritize high-volume payroll cycles while ensuring compliance and accuracy
- Ability to communicate payroll and benefits information effectively to employees and non-technical stakeholders through written reports /mails and verbal interactions
- Ability to collaborate effectively with Human Resources (HR), Finance, and external vendors to ensure accuracy and compliance
- Ability to uphold professionalism and drive quality, efficiency, and process improvement in payroll and benefits administration
- Demonstrated ability to work independently with proactive problem-solving and hands-on execution of payroll activities
JOB REQUIREMENTS
- Bachelor's Degree in Human Resources Management and 3-5 years related experience in payroll, compliance, and benefits management
