Job Summary

The Payroll Analyst plays a vital role in ensuring accurate, compliant, and timely payroll processing for our global workforce. In this role, you will support end-to-end payroll operations, audits, reporting, and compliance initiatives — ensuring our employees are paid accurately and on time while maintaining the highest standards of confidentiality and integrity. This position requires a highly detail-oriented, analytical, and proactive individual who can navigate complex payroll operations across multiple countries and jurisdictions.

Key Responsibilities

Payroll Processing & Operations

  • Process and audit bi-weekly, monthly, and off-cycle payrolls for a multi-jurisdictional workforce across the U.S., Europe, EORs, Contractors, and additional global locations.
  • Partner with payroll vendors and third-party providers (e.g., ADP, Workday, Borderless, Papaya) to ensure accurate data transmission, statutory compliance, and timely payroll execution.
  • Review payroll reports for accuracy, validate employee data, and resolve discrepancies related to wages, deductions, accruals, and taxes.
  • Support payroll-related general ledger reconciliations and coordinate with Accounting on payroll summaries, journal entries, and cost allocations.

Compliance, Reporting & Auditing

  • Ensure adherence to federal, state, and international labor and tax laws, wage and hour regulations, and statutory reporting requirements.
  • Ensure proper withholding and employer contributions.
  • Conduct regular payroll audits to maintain data integrity, identify potential risks, and implement corrective actions where necessary.
  • Support internal and external audits by preparing documentation and responding to inquiries in a timely and accurate manner.

Collaboration & Continuous Improvement

  • Serve as a liaison between People & Culture, Finance, Accounting, and external partners to streamline payroll workflows and improve process efficiency.
  • Participate in payroll system upgrades, testing, and integration projects, ensuring seamless transitions and optimized functionality.
  • Assist in the creation, maintenance, and documentation of standard operating procedures (SOPs), policies, and training materials.
  • Provide high-level payroll support and respond to employee inquiries with professionalism, confidentiality, and exceptional service.

Qualifications & Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field — or equivalent experience
  • 3+ years of payroll experience in a multi-state or global environment
  • Strong knowledge of payroll principles, taxation, wage & hour laws, and regulatory compliance
  • Proficiency with payroll and HRIS platforms such as ADP Smart Compliance, ADP Celergo, Workday, or similar systems
  • Advanced Excel skills with the ability to analyze large data sets and generate reports

Preferred:

  • Experience within the hospitality, maritime, or cruise industry.
  • Familiarity with European payroll practices (e.g., Italy, Malta, France, Monaco)
  • FPC certification
