GENERAL SUMMARY
The Payroll Administrator is responsible for managing assigned Canadian pay groups, ensuring the accurate and timely processing of payroll on a bi-weekly cycle. This role encompasses day-to-day payroll data entry, EIB processing, time and attendance oversight, and employee inquiry handling within the Workday system. The Payroll Administrator performs manual data uploads, direct inputs, and regular audits to maintain data integrity, working closely with the Payroll Manager to ensure all inputs are processed correctly and on schedule.
PRINCIPAL DUTIES & RESPONSIBILITIES
Ensure compliance with federal and provincial payroll regulations across all assigned Canadian pay groups.
Process and review Workday Help Cases daily, responding to employee and manager inquiries related to pay, time reporting, and deductions.
Perform daily Workday Inbox and Outlook Mailbox reviews, triaging payroll-related communications in a timely manner.
Manually input payroll data and process adjustments in Workday, including one-time changes and payroll corrections.
Prepare Supplemental Run Inputs and coordinate data entry for off-cycle and supplemental pay runs.
Perform Employee Retroactive Pay Calculations as required, ensuring accurate catch-up payments.
Execute EIB (Enterprise Interface Builder) Creation, Launch, Audit, and Cross-checking to support accurate mass data uploads in Workday.
Handle ADP Rejection processing and follow-up to ensure all direct deposit rejections are resolved promptly.
Conduct pre and post payroll audits to verify the accuracy of payroll inputs and outputs; reconcile results and resolve discrepancies.
Process Records of Employment (ROEs) for terminating and leave employees in accordance with Service Canada requirements.
Support employees and supervisors in navigating the Workday time and attendance system.
Collaborate with HR, Finance, and Benefits teams to ensure seamless payroll operations.
Assist with process improvements, documentation of job aids, and system enhancement testing as required.
JOB SPECIFICATIONS
1–3 years of Canadian payroll experience; PCP Certification is preferred or actively in progress.
Familiarity with Workday payroll and time & attendance modules are considered a strong asset.
Proficiency in Microsoft Excel, including use of formulas, VLOOKUP, and pivot tables.
Solid understanding of federal and provincial payroll legislation across Canada.
Strong attention to detail with the ability to maintain accuracy under tight bi-weekly payroll deadlines.
Excellent organizational and time management skills; ability to prioritize competing tasks.
Effective communication skills with the ability to collaborate across HR, Finance, and Benefits teams.
Comfortable working in a fast-paced, deadline-driven environment with a high volume of transactions.

The expected salary range for this position is $65,000 – $70,000 CAD and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
