Payroll Administrator - 12 month FTC

Due to growth we are looking for a Payroll Administrator to join us on an initial 12 month Fixed Term Contract.

The Payroll Administrator is responsible for managing end-to-end payroll operations, ensuring accuracy, compliance, and timely processing across multiple sources. This role serves as the primary contact for external partners and internal teams, overseeing payroll data, billing, invoicing, and system updates. The position also handles complex payroll queries, maintains clear documentation, and supports the Payroll Manager and senior leadership with ad hoc projects.

Main Responsibilities:

  • Ensure payroll data is processed accurately and efficiently from multiple sources.
  • Provide payroll-related data to external partners in compliance with established guidelines.
  • Manage relationships with external partners to guarantee timely and precise payroll delivery.
  • Collaborate with Planet Pharma teams and other departments to capture all relevant payroll information.
  • Oversee purchase orders, quotes, and system updates related to payroll operations.
  • Handle billing and invoicing to clients upon payroll completion, including resolution of invoicing queries.
  • Maintain internal systems and records to ensure accuracy and compliance.
  • Document and file all payroll processes to support audit readiness and transparency.
  • Manage the payroll inbox, addressing complex queries promptly and professionally.
  • Stay current with company training and learning activities to enhance payroll expertise.
  • Support and mentor team members, assisting with ad hoc duties as required.
  • Partner with the Payroll Manager and senior leadership on special projects and strategic initiatives.

Necessary Skills and Abilities:

  • In-depth knowledge of payroll compliance, legislation, and best practice processing methods.
  • Exceptional attention to detail with a strong focus on accuracy
  • Proven ability to prioritize workloads and perform effectively under pressure to meet strict deadlines.
  • Skilled in identifying, investigating, and resolving payroll discrepancies with transparency and integrity.
  • Competence in manual payroll calculations, including tax deductions and adjustments for over/under payments.
  • Solid understanding of GDPR regulations to ensure sensitive payroll data is handled securely and appropriately.
  • Strong communication, numerical, and problem-solving skills, with experience managing relationships with external payroll and pension vendors.
  • Proficiency in Microsoft Office applications, including Outlook, Teams, and Excel.
  • Demonstrated ability to work collaboratively within a team, supporting colleagues and contributing to shared organizational goals.

Educational Requirements:

  • Minimum of English Language and Math’s GCSEs at grade C/4 or equivalent.
  • High school diploma or equivalent, with demonstrated proficiency in English and Mathematics.

Experience Requirements:

  • Minimum 3–5 years of experience in payroll administration, with exposure to multi-source payroll processing.
  • Experience with expatriate and international payroll processing is preferred but not required.
  • Experience working with HRIS systems (Workday preferred) and external payroll vendors.
