Job Summary

The Patient Care Coordinator is responsible for scheduling services; including scheduling/rescheduling patients, new and returning patients.  Verifies insurance information and registers the patient.  Other office duties include; performing updates in the Epic, and Agility updating patient ques.

Essential Functions

  • Greets patients and manages phone calls
  • Provides information on various department clinical programs to patients during patient scheduling/intake call
  • Schedules new and returning patient appointments
  • Creates patient education packets for various clinical programs and outpatients
  • Manages referral que and generates referrals when appropriate, obtains authorization from insurance and refers patient to the appropriate physician and diagnostic service
  • Sends communication and referrals to referring physician offices when appropriate
  • Scans patient related documents for various clinical programs
  • Requests relevant laboratory data, and diagnostic imaging reports in preparation for patient visits
  • Builds customer relations through positive interaction with patients and other hospital departments and clients
  • Consistently and accurately registers patients in Epic with all required information and keeps up with new registration requirements, checks patients in and out through Agility
  • Responsible for obtaining insurance and/or employer authorization as applicable. 
  • Responsible for time of services payments to patients as applicable.  
  • Responsible for subpoena and medical record requests, locating medical reports in various systems. 
  • Ensures the daily review of email system for department communications.  Participates in department in-service programs.  Performs education modules monthly and HealthStream education when due. 
  • Assists with inventory and replacement of supplies by ordering or notifying supervisor. 
  • Attends huddles and mandatory in-service meetings.  Accepts assignment of other duties as needed, receives training and/or orientation. 
  • Set up corporate client protocols
  • Call and fax work status reports to employers and insurance.
  • Effective communication with employers and to ensure claim is filed
  • Work with adjusters to get MD orders authorized and sent
  • Dailey credit card check deposit
  • Maintains work status line
  • Assists employee health
  • Responsible for scheduling pre-ops
  • Responsible for obtaining MD notes form other physician offices
  • Employee must perform all duties and responsibilities in accordance with the C-I-CARE Standards of the Hospital. C-I-CARE is the foundation of Stanford Healthcare – ValleyCare’s patient-experience and represents a framework for patient-centered interactions

Job Qualifications

Education   

  • AA Degree preferred

Experience

  • Two Years medical office experience

License/Certification

  • N/A

Knowledge, Skills, and Abilities

  • Excellent communication skills.
  • Excellent phone and computer skills.
  • Working knowledge of medical terminology.
  • Working knowledge of insurance terminology.
  • Strong organization skills and attention to detail.

Base Pay Scale: Generally starting at $25.76 - $34.00 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
