JOB PURPOSE:
To provide strategic and operational oversight of patient access functions, including ambulatory and surgical scheduling, ensuring efficient, accurate, and patient-centered access to care. This role is critical to optimizing patient flow, enhancing service delivery, and supporting the university’s mission of excellence in clinical care, education, and operational performance.
SUPERVISORY AUTHORITY:
Provides direct and/or indirect supervision of patient access and ambulatory and surgical scheduling staff. Responsibilities include staff onboarding, training, performance management, productivity monitoring, and ensuring adherence to organizational policies and service standards.
NATURE AND SCOPE:
Internal contacts include clinical providers, nursing staff, practice managers, revenue cycle teams, and administrative leadership.
External contacts include patients, insurance providers, and third-party vendors, including EGS, to ensure seamless coordination of scheduling and access services.
PRINCIPAL ACCOUNTABILITIES:
- Oversees daily patient access operations, including real-time management of scheduling workflows and call center performance.
- Monitors and drives key performance metrics, including access, productivity, and service levels, to support continuous improvement.
- Ensures accuracy of patient registration, including insurance verification, demographic data entry, and alignment of diagnosis codes with appropriate providers and services.
- Coordinates complex surgical scheduling processes, requiring cross-functional collaboration and operational decision-making.
- Leads staff training, onboarding, and ongoing competency development to ensure consistency, compliance, and high-quality service delivery.
- Serves as liaison with external vendor EGS to ensure alignment with operational expectations and timely resolution of issues.
- Supports timekeeping, attendance oversight, productivity tracking, and performance management in collaboration with leadership.
- Acts as a communication bridge between patient access, clinical teams, and administrative leadership to improve patient flow and access to care.

MINIMUM REQUIREMENTS:
- Minimum of 3–5 years of experience in patient access, scheduling, or healthcare operations.
- Prior supervisory or leadership experience preferred.
- Strong knowledge of patient registration, insurance verification, and scheduling systems.
- Experience coordinating surgical scheduling and working with cross-functional teams.
- Proficiency in electronic health records (EHR) systems and reporting tools.
- Excellent organizational, communication, and problem-solving skills.
- Certified Healthcare Access Associate (CHAA) preferred.
