Reports To: Dean, Academic
LOCATION: Green Bay
STANDARD HOURS: Wednesday 12:00pm – 5:30pm, Thursday 8:00am – 5:30pm, and Friday 8:00am – 5:30pm. Flexibility required to include other hours, as necessary.
START DATE: Immediate start preferred to assist with an urgent department project.
PAY RATE: $20.69 per hour
Priority will be given to applications submitted by May 6th.
POSITION SUMMARY
The Office Assistant provides general clerical support to the College of Business, Communication & Social Sciences department. The position entails assisting the department with data entry, receptionist duties, mailings, reports, filing, copying, record keeping, sort/distribute mail, maintain copy machine, maintain inventory of office supplies and printed materials.
ESSENTIAL FUNCTIONS
Provide general clerical support for the College of Business, Communication & Social Sciences staff and instructors.
Greet internal and external customers, in person or via phone and email, and serve as the liaison between the customer and the appropriate individual. Determine nature and purpose of visit and provide appropriate service.
Act as resource person for faculty, administration and staff. Assist with classroom access, printing, supplies, room scheduling, etc.
Reserve rooms and resources for faculty, administration, and staff using college scheduling technology. Review room schedules and classroom readiness.
Inform appropriate department staff of daily absences and post cancellations as they occur. Notify students of class cancellations through multiple delivery systems.
Design and develop reports, correspondence, and spreadsheets from verbal direction, rough draft or supervisor’s direction.
Serve in a cross-functional capacity to assist each academic program specialist within the department.
Coordinate and communicate with all other office staff to ensure constant sharing of information and quality of service to customers.
Check out equipment for students as needed.
All other duties and projects assigned.
MINIMUM QUALIFICATIONS AND WORK EXPERIENCE
Technical Diploma in related field
One-year related experience in an office environment.
Microsoft Office Suite, electronic calendar system (Outlook preferred), Data Management system (Workday preferred).
Possess general knowledge of accounting principles. Ability to type 40 words per minute with 95 percent accuracy.
