Department: Student Affairs – Academic, Career, & Transferring Advising

Reports To: Director, Academic, Career, & Transferring Advising

LOCATION: Green Bay

STANDARD HOURS: 24 hours per week, Tuesday-Friday, 9:00 AM - 3:00 PM

STARTING PAY RANGE: $20.69 - $22.30/hr

*Salaries/Wages for all finalists (internal and external) will be placed within the range based upon education, experiences, current wages, and internal equity.

POSITION SUMMARY

This position serves as the first point of contact for the Academic, Career and Transfer department and is responsible for providing clear communication and support to customers and teammates. Provides high level of attention to detail and customer service to ensure all visitors receive timely and accurate service. The employee will possess knowledge of and educate customers in all aspects of Academic, Career and Transfer advising and college resources.

ESSENTIAL FUNCTIONS

Essential Functions Statement(s)

  • Work independently and effectively under pressure while adapting to changing work priorities.

  • Greet internal and external customers, determine the nature and purpose of the visit, and provide appropriate service (schedule an appointment, submit a referral, provide walk in service, etc.) using a variety of modalities.

  • Use coaching framework to assess student and customer needs, offer clear communication of resources and processes, and engage in dialogue to ensure customer understanding of the next steps or referrals to other departments.

  • Strategically plan, coordinate, and lead career fairs, transfer visits and related professional events, overseeing all aspects from logistics to execution, including targeted marketing and promotional strategies to maximize engagement and impact.

  • Assist customers in accessing and navigating resources for career assessments, job search tools, resume reviews, mock interviews, and how to utilize the college job board.

  • Provide technical and administrative support for the Academic, Career and Transfer Advising Team including management of events, appointments, calendars, referrals, and data tracking.

  • Utilize resources and internal systems to resolve customer inquiries.

  • Design and develop reports, correspondence, spreadsheets, and databases from verbal direction, rough draft, and/or leader’s direction.

  • Perform Career Closet duties that may consist of maintaining inventory and assisting visitors.

  • Provide administrative support to other Student Affairs teams.

  • Provide additional support to Academic, Career and Transfer Advising Team to meet the strategic direction of the College.

MINIMUM QUALIFICATIONS AND WORK EXPERIENCE

  • Associate’s Degree in Administrative Assistant, Business or related field.

  • Minimum of one year of related experience.

  • Microsoft Office Suite, ability to learn job board functionality, survey tools, career assessment tools, online student success program, data management systems (Workday preferred), online meeting tools, Artificial Intelligence tools, etc.

  • Extended Sitting: Ability to sit for extended periods while working on a computer or attending meetings

  • Mobility: Ability to move around the campus to attend meetings and events

  • Manual Dexterity: Proficiency in using hands and fingers to handle or operate office equipment, tools, or controls.

  • Visual and Auditory: Ability to read documents and communicate effectively with students and staff.

  • Light Lifting: Capability to lift and carry materials weighing up to 25 pounds.
