The Operations Support Coordinator plays a vital role in supporting the day-to-day administrative and operational functions of the procurement, facilities and IT departments. This role ensures timely ticket triage, vendor communication, and case coordination while acting as a backup resource for Dentira-related tasks. By overseeing day-to-day workflows and supporting documentation, reporting, and issue tracking, this role frees up Procurement and Facilities Managers to concentrate on onsite initiatives and new clinic builds.
Job Responsibilities:
Facilities Coordination
Triage incoming facilities tickets to categorize and dispatch facilities-related service tickets (HVAC, plumbing, janitorial, etc.) if needed. Obtain required information from the clinical teams to properly address the concern.
Coordinate and schedule repairs and maintenance with clinic schedules.
Schedule and follow up on preventive maintenance tasks and recurring inspections.
Track work order status and clinic and vendor response time.
Maintain vendor contact lists, service logs, and documentation for regulatory compliance.
Assist with facilities logistics and project management for new clinic openings, relocations, or closures.
Assist in evaluating vendor performance and maintaining documentation on service quality, pricing compliance, and issue resolution history.
Support lease tracking by maintaining reports and monitoring upcoming contract expirations.
Equipment Coordination
Support Equipment Manager by triaging incoming equipment tickets and route to appropriate team members and/or facilitate resolution of tickets with certain service providers.
Maintain x-ray and other equipment inventory.
Point of contact for iTero scanner support with Invisalign.
Project coordinator for Equipment team including x-ray installations.
Manage vehicle fleet.
Account Management
Account Manager for radiation detection, medical waste, pest control, lawn care, HVAC maintenance, etc. to ensure high quality service is delivered timely and billed correctly.
Procurement Support
Analyze and report on spend by account and vendor to identify cost savings opportunities.
Triage incoming procurement tickets and route to appropriate team members as needed.
Submit purchase orders as needed in Dentira for procurement, facilities and equipment.
Serve as a backup resource for Dentira ticketing, user access, and issue tracking.
Maintain reports on supply utilization and spend analysis.
Administrative & Reporting Tasks
Compile and distribute weekly or monthly operations report.
Track and analyze vendor performance metrics (SLA adherence, service frequency, spend etc.)
Assist in maintaining documentation such as SOPs, vendor agreements, licenses, and forms.
Support internal audits and compliance reviews.
Qualifications
2+ years of experience in operations support, procurement, facilities, or administrative coordination (healthcare/dental industry preferred)
Strong communication and organization skills
Experience with procurement platforms (Dentira preferred), Excel/Google Sheets, and ticketing systems
Ability to multitask, prioritize, and follow through in a fast-paced environment
Comfortable communicating with vendors and clinic team members
