Operations Specialist – Bunker Operations
Location: Dubai, UAE

The Operations Specialist plays a critical role in coordinating and executing bunker deliveries across major Middle Eastern ports. This role ensures smooth end‑to‑end fuel supply operations—from nomination through delivery completion—while maintaining high levels of compliance, accuracy, and customer service.
You will act as a key operational link between traders, suppliers, vessels, surveyors, and port authorities, ensuring every delivery is completed safely, efficiently, and in full compliance with industry and regulatory standards.
Key Responsibilities
Bunker Operations Management
- Coordinate the full bunker delivery workflow from order confirmation to completion.
- Issue bunker confirmations, nominations, vessel instructions, and status updates.
- Liaise with vessel masters, agents, suppliers, surveyors, terminals, and port authorities to ensure timely delivery.
- Monitor vessel schedules, port conditions, weather disruptions, and any operational risks.
- Validate Bunker Delivery Notes (BDNs), supplier invoices, and all related documentation.
- Handle claims, disputes, and operational discrepancies with timely follow‑up and resolution.
Compliance and Documentation
- Ensure bunker operations comply with IMO, MARPOL, and local port regulations.
- Maintain complete and accurate operational records in ERP and internal systems.
- Verify that products meet ISO 8217 fuel quality specifications.
- Support internal and external audits with accurate documentation and follow‑up.
Communication and Coordination
- Serve as the primary operational contact for traders, clients, and suppliers.
- Provide regular updates on delivery progress, ETAs, constraints, and operational risks.
- Coordinate with accounting and trading teams for invoicing, settlements, and documentation closure.
- Build strong working relationships with bunker barges, surveyors, terminals, and port authorities.
Cost and Performance Optimization
- Monitor operational costs such as port fees, barge hire, and survey charges, identifying opportunities for efficiency.
- Optimize allocation of barges and supply resources to minimize downtime and delays.
- Identify process improvements and automation opportunities to enhance operational turnaround time.
