Role Overview
We are seeking an Operations Specialist to serve as the onsite operational backbone of our office. This is a highly cross-functional, hybrid role that blends IT, People, and Operations Support into a single, trusted point of contact for employees and leaders for our Porto, Portugal office.
The Operations Specialist ensures that day-to-day operations run smoothly, employees are well supported, and global processes are executed locally with consistency and care. This role is ideal for someone who enjoys being hands-on, solving problems, building relationships, and wearing multiple hats in a fast-paced, growing organization.
This position does not manage people, but it does carry significant ownership, autonomy, and visibility. 
Key Responsibilities
IT & Technology Support (Hands-On)
  • Provision, deploy, wipe, and manage laptops and basic IT equipment, primarily MacBooks. Ensure employees have the right equipment that is working properly. 
  • Conduct New Hire IT Onboarding to ensure a smooth tech experience for new employees and team members
  • Troubleshoot common employee IT issues (connectivity, password resets, OKTA authenticator, peripherals, access, meeting room technology).
  • Maintain accurate inventory of local technology assets and equipment.
  • Partner with centralized IT teams on escalations, system rollouts, security protocols, and asset tracking.
  • Ensure meeting rooms, AV equipment, and office technology are functioning and ready for use.
 
People Operations & Employee Support
  • Support employee onboarding and offboarding, including local orientation, workspace setup, and equipment coordination.
  • Act as a first point of contact for employees with questions related to policies, processes, benefits navigation, and general employment support (in partnership with centralized HR).
  • Coordinate recruiting logistics, including interview scheduling, candidate hosting, and onsite interview support.
  • Help foster a positive, inclusive, and well-connected office culture.
  • Maintain confidentiality and exercise sound judgment when handling sensitive employee matters.
Operations & Office Support
  • Own day-to-day office operations, ensuring a safe, organized, and welcoming environment.
  • Manage office vendors, supplies, access badges, mail, and facilities coordination.
  • Serve as the onsite point of contact for building management and service providers.
  • Support office moves, expansions, or reconfigurations as needed.
  • Maintain local operational documentation and procedures.
  • Coordinate meetings, calendars, visitors, and logistics for onsite and hybrid teams.
  • Support leadership visits, team offsites, and cross-functional meetings.
  • Act as a connector between local teams and centralized People, IT, and Operations functions.
Culture, Events & Employee Experience
  • Plan and execute office events, team meetings, onboarding activities, and celebrations.
  • Support employee engagement initiatives and local communications.
  • Serve as the pulse of the office—proactively identifying friction points and opportunities to improve the employee experience.
Qualifications & Experience
  • 3–4 years of experience in IT support, people operations, business operations, or a similar hybrid role. 
  • Comfortable performing hands-on technical tasks such as laptop provisioning, basic troubleshooting, and asset management.
  • Apple OSX, MacBooks, Google Workspace, & OKTA experience required.
  • Must be willing to work onsite in our Porto, Portugal office 2-3 times per week
  • Strong organizational skills with excellent attention to detail and follow-through.
  • High emotional intelligence and strong interpersonal skills.
  • Ability to work independently while collaborating closely with distributed teams.
  • Bilingual in Portuguese and English; strong written and verbal communication skills required.

Compensation Package
Annual Salary Range: €45,000 - €55,000 
*A candidate’s actual placement within this range will depend on geographic location, work experience, education, and/or skill level.
Applicants must be authorized to work in Portugal and currently live in the Porto area to be considered for the position.
