Operations Specialist, Investment Counsel Services (ICS)

The Opportunity

Join Manulife Private Wealth (MPW) to support operations for our investment counselling business serving high‑net‑worth clients. In this fast‑paced, collaborative environment, you will help ensure accurate portfolio administration, seamless trade execution and reconciliation, and responsive counsellor and client support. You will also play a key role in meeting Total Cost Reporting (TCR) requirements, strengthening MPW Operations integrations, and supporting critical reporting cycles.

Responsibilities

Total Cost Reporting (TCR)

  • Execute reconciliation processes
  • Conduct UAT testing
  • Prepare suspicious activity reporting
  • Gather Bloomberg and related data
  • Perform pre‑statement data cleanup
  • Integrate TCR into day‑to‑day Ops workflows and update documentation for new and existing procedures
  • Troubleshoot issues and coordinate resolutions
  • Manage the annual mailing from preparation through final distribution

Portfolio Administration

  • Set up and manage new and existing high‑net‑worth client accounts
  • Maintain client data for billing, statements, and tax reporting
  • Prepare client statements and ad‑hoc reports
  • Generate management fees and invoice sub‑advisory fees
  • Facilitate credit/debit/internal transfers with custodian; manage cash and FX
  • Support annual tax reporting and cross‑training across departments
  • Stay current on regulatory obligations; contribute to regulatory/process improvement initiatives

Portfolio Maintenance, Trade Execution, Reconciliation & Settlement

  • Perform daily cash and securities reconciliation; resolve trade discrepancies
  • Set up equity and fixed income securities in the wealth management system
  • Proactively manage failed trades; review corporate actions for accuracy
  • Propose trades to align with IPS
  • Execute trade orders on mutual funds and securities
  • Investigate and resolve issues with custodial and trading counterparts

Service & Support

  • Provide ongoing administration and ad‑hoc support to Investment Counsellors
  • Prepare performance reconciliation
  • Complete monthly client fee collection
  • Assist team members and management as needed
  • Prepare periodic internal financial reporting
  • Triage operational issues; troubleshoot and coordinate cross‑functional resolution
  • Support day‑to‑day integration with broader Operations processes for scalable, compliant delivery

Qualifications

  • Post‑secondary education and/or 2–3 years of experience in financial services
  • Experience in the high‑net‑worth market strongly preferred
  • Completion or enrollment in the Canadian Securities Course (CSC)
  • Knowledge of securities instruments/settlement, foreign exchange, reconciliation, and investment accounting
  • Strong written and verbal communication skills
  • Advanced Microsoft Office skills (especially Excel); scripting in SQL, Excel macros, and Python is a strong asset
  • Familiarity with wealth management tools (e.g., FundSERV, Bloomberg) is an asset
  • Demonstrated initiative, professionalism, and confidentiality

Working Arrangement

Salary range is expected to be between

$62,850.00 CAD - $104,750.00 CAD

Employees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance. The actual salary will vary depending on local market conditions, geography and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
