Operations & Maintenance Coordinator

OCONUS-Australia-Alice Springs Full time

The Operations and Maintenance Coordinator is responsible for the management of essential administrative planning and process functions within the Operations and Maintenance (O&M) department. The position reports directly to the Maintenance Superintendent and is responsible for assisting in the development and ongoing management of O&M sub-contract work, including SOW development. The coordinator position is a key member of the O&M leadership team and is expected to perform the role with a high degree of initiative and self-direction, collaborating within the O&M team and other departments as required to achieve outcomes.

Responsibilities/Duties

  • Support O&M External Vendor Superintendent with all functions of the external vendor program.
  • Statement of work development and tracking. Liaising with relevant subject matter experts as necessary.
  • Coordinate, supervise and support necessary consultation within the O&M department, and/or with other departments, to allow sub-contractors to execute tasks.
  • Liaise with Superintendents and training service providers and the relevant Training Coordinator to support scheduling and coordination of all training requirements within the O&M department.
  • Oversee tasks essential to the day-to-day running of the O&M department, including providing support to the O&M leadership team in the management of scheduled and administrative tasks.
  • Responsible for processing all invoices, reconciliation requirements and general enquiries relating to sub-contracted work.
  • Provides administrative support and assistance in relation to all recruitment requirements and onboarding within the O&M team.
  • Ensure compliance with all site environmental health and safety requirements
  • Any other reasonable duties as requested

QUALIFICATIONS

Minimum Essential Desirable

  • Certificate IV in Business Administration or, Equivalent demonstrated experience Field: Business Administration, Finance, Executive Support

Desirable

  • Under Graduate Qualifications Field: Business Administration, Finance, Executive Support

  • First Aid

EXPERIENCE – Minimum Essential

2 – 4 years’ experience in administration management and/or executive support, with a broad administrative understanding of programs of similar size and complexity. High level communication skills, detail orientation and the preparation of documents are critical to successful performance.

WORK ENVIRONMENT, PHYSICAL DEMANDS, AND MENTAL DEMANDS

The position is desk based and sedentary in nature, the ability to lift items up to 5kgs may be required occasionally.

Attention to detail and high concentration levels are required along with the ability to multi task and perform thorough decision-making processes

SECURITY CLEARANCE REQUIREMENT

It is a condition of employment at JDFPG that employees obtain and retain the appropriate level of security clearance and medical clearance applicable to each role. The employee will require a Positive Vetting (TSPV) Department of Defence Security Clearance (Australian) or Secret (U.S.) clearance.

STATEMENT OF WORK REQUIREMENTS

All personnel assigned to work shall be:

At least 18 years of age.

Able to fluently read, write and speak English

EHS REQUIREMENT
