What You'll Do

We are looking for a passionate and talented Operations Coordinator Spain, based in Madrid.

The candidate has a relevant experience in operations supervision in the medical device industry with strong expertise in management of people, projects, and resources. He/she will coordinate the Warehouse and Distributions Team of Enovis Surgical Spain (Madrid) to ensure the efficient receipt, storage, customer’s order handling and dispatch of products and to assure the adherence to the Corporate Policies for the main Logistics Flows, the correct customer requests management and the dispatch of products from the warehouse in Italy to the Spanish company and from them to the hospitals. He/she will lead main projects aimed at improving operations in Iberia to lead the sustainable development of the market, with a focus on resources, efficiency, and economies of scale.

Main Accountabilities

Team Management

  • Coordinate, manage and monitor the activities of Local Warehouses and Customer Services
  • Supervise the Workload and the correct and timely Execution of transactions in the IT Systems
  • Team Support in resolution of problems in order processing and material availability
  • Coordinate the team to ensure a level of service in line with business objectives
  • Propose trainings plans for resources to develop hard and soft skills
  • Ensure the team follows the guidelines and rules for a proper communication towards customer and for priority settings in case of backorders.
  • Ensure availability and quick response time for sales reps and customers
  • Take part calls with Sales Organization on a regular base for Ops/Sales alignment

Policies Management

  • Monitor adherence to local authorities’ regulations and corporate policies
  • Establish or adjust local work instructions to meet corporate procedures
  • Ensure the correct Stock and Flow Separation according to the corporate policies
  • Ensure the Accuracy of the Expiration Returns/Expired/Expiring Management
  • Keep under control external stock levels and rotations to ensure the best use of the company’s resources
  • Ensure accuracy of Internal [Local] and External Warehouses data through Stock Counts and relative adjustments
  • Guarantee correct procurement flow with suppliers different than Enovis in line with corporate procedures
  • Ensure accuracy of stock management, shipments and Reverse logistics and supporting documentation
  • Ensure the Forecast availability and accuracy together with Sales and the Corporate Demand
  • Support the business in the strategy definition of new investments requests, projects and initiatives
  • Monitor the consistency of the loaner fleet and Consignment rotation based on KPI
  • Ensure the Warehouse re-stocking from HQ through the Collaborative replenishment process for Spain
  • Be active part in the IOC International Operations Committee as representative of the Spain
  • Instruments Sets Management.

KPI Management

  • Define and measure relevant KPIs in line with the corporate indications (productivity, etc.)
  • Monitor and verify service level of suppliers (3PL, carriers)
  • Analyse statistics or other data to determine the Service Level the Companies is providing

 

Project Management

  • Support HQ new projects and software deployment at a local level
  • Evaluate new opportunities and propose initiatives of Network Re-Design to optimize Distribution Costs
  • Monitor the trade-off between Loaner and Consignment Management
  • Extends standard and best practices among the countries
  • Disposition / OP coordination of the available loans of implants and instrument sets (ATP)
  • Work on optimization /sharing of the Loaner Pool in Spain
  • Work on develop synergies in Customer Service support and Backoffice activities between the countries
  • Work to Optimize transports and deliveries in Iberia
  • Establish a system of control and monitor the accuracy of the set composition, collecting claims, plan the proper countermeasures and action plan to improve the service level and quality of the deliveries of Sets to the Customers

 

Education:

  • Degree in Economics, Engineering, and other scientific areas
  • 5-7 years of experience in operations supervision in the medical device / Orthopedics industry

Skills:

  • Leadership and people management
  • Customer oriented mindset with focus on sales
  • Used to team play and to work within an international team
  • Analytical person with familiarity with data analysis
  • Proven experience in project management and focus on continuous improvement
  • Excellent proficiency in English and Spanish. Portoguese is a plus.
