Job Summary
KBR seeks to hire an Operations Analyst who will perform a wide range of operations support activities for the product managers and supervisors to facilitate the efficient operation of the organization. Duties will include office operations, task management, scheduling travel, arranging meetings, processing information requests, preparing reports and correspondence, and liaising with other senior level Military and Civil Service members. This position requires a high level of professionalism, discretion, and diplomacy. Candidates must possess proven skill sets required to coordinate the activities of a U.S. Army Aviation Acquisition product office and must be a self-starter who can perform multiple tasks simultaneously.
Roles and Responsibilities:
- Conducts analysis and provides recommendations on operational requirements and product management for the Product Office (PO).
- Manages internal and external taskings, including analysis, processing, assignment of responsible action personnel, and tracking related workflows to completion using the Army’s Enterprise Task Management Software Solution (ETMS2).
- Maintains situational awareness of all product office on-going actions with external stakeholders and ensuring PO managers and leadership are aware and briefed on pending actions and due dates.
- Manages the PO weekly Significant Activities reporting and providing high-level updates of accomplishments, upcoming events, and action items.
- Provides routine reports for task orders from internal and external personnel, entities, organizations, and higher echelons.
- Facilitates upward and downward communication and integration within the PO and with external organizations and stakeholders.
- Conducts recurring organizational meetings, routine task reviews, and working group meetings, with senior leadership to plan and synchronize operations, transcribe notes, record action items, and ensure the timely fulfillment of post-meeting actions.
- Manages operational schedule synchronization between headquarters, parent, and subordinate organizations.
- Represents PO stakeholders in acquisition operations coordination and execution.
- Prepares written correspondence in accordance with the AR 25-50 using the Microsoft Office suite of programs.
- Prepares or edits directives, issuances, memoranda, policy statements, taskings, and other written guidelines. Review documents for omissions and inconsistencies and ensure data is complete and accurate.
- Manages product office document production, review, and quality control processes, including uploading files using Microsoft SharePoint, collaboration, synchronization, tracking changes, and ensuring timely completion.
- Develops and reviews product management documentation, briefings, white papers, and responses to inquiries, including correspondence, briefings, and responses to internal and external stakeholders.
- Prepares and maintains working copies of acquisition documentation, informational briefings, meeting charts, and similar products to ensure consistent messaging, format, and content.
- Processes requests for information and queries for product office data, and coordinates with the appropriate office to fulfill the request.
- Effectively communicates important and pressing matters to Government leadership and executes directed resolutions.
- Coordinates facilities and resources to conduct briefings or other collaboration activities (e.g. conference facilities, teleconference, video teleconference, digital presentation, room preparation, etc.).
- Coordinates, sets-up, and executes off-site/team building activities and organizational events.
- Conducts quality control review of written correspondence and briefing documentation.
- Maintains a working knowledge of and can assist with clerical, administrative, and office management, including managing the Product Manager’s and Deputy Product Manager’s calendar, meeting coordination, travel scheduling, processing information requests, preparing reports and correspondence, and liaising with other senior level Military and Civil Service members, as required.
- This position requires a high level of professionalism, discretion, and diplomacy.
- Candidate must possess proven skill sets required to coordinate the activities of an executive office and must be a self-starter that can perform multiple tasks simultaneously.
- Assist with travel arrangements in the Defense Travel System (DTS), making travel, lodging, and rental car bookings. Prepare travel book with agenda.
Basic Qualifications:
- This position requires a bachelor’s degree and at least 12 years of related experience (an additional years of experience may be substituted in lieu of a degree)
- Candidates must be a United States citizen.
- Candidates must possess an active Secret or higher security clearance.
- Candidate must have previous experience using ETMS2 and DTS.
