The Position
What should you do
Site operation (including facilities management)
Act as site security office (SSO) responsible for general administration and develop, review, and improve policies, systems, and procedures, and generally ensuring the office operate smoothly and efficiently. And work with SHE officer to ensure that policies and procedures have meet the local government regulation and global SHE guideline.
Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained as well as working with accounting and management team to set budgets, and monitor spending.
Responsible for office facility management which includes to be the main contact for the Building management, and work with respective external vendors.
Accountable for services such as cleaning, security and parking, to make sure the surrounding environment is in a suitable condition to work, and to work with respective external vendors.
Manage any building maintenance with things like heating and air conditioning to maintain the working environment.
Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
Administrative Support
Exercises independent judgment and discretion with sensitive/confidential and proprietary information
Provide the appropriate support to the enterprise level projects(e.g kick off meeting, children’s walk).
Work as a self-organized team with resource fluidity, swarming to ad hoc projects that may need short term increase in human resource..(e.g. during audit).
With high attention to detail, plans, coordinates and manages a complex and dynamic calendar that includes coordination of personnel in different geographical regions/time zones. Calendar may include meeting scheduling, resolution of scheduling conflicts, scheduling appointments with external guests and officials, and interviews as necessary.
Organizes management travel for senior leaders.
Participates in planning of departments/squads level activities and events (e.g. department meeting, team building, Lunch & Learn)
Consultation and guidance to new comers
Operation Excellence & Projects
Works constructively with departments and squad to deliver organizational priorities and contributes to the organization’s objectives
Be a champion for company’s operational & administrative processes and be a change agent to promote continuous improvement culture in the organization
Proactively streamlines and improve operational processes across the organization
Works on complex projects as an individual contributor or cross functionally. Such assignments require professional judgment and initiative in resolving problems and making recommendations.
Responsible and ensures all the payment procedures and monitors the related process and Communicate with RSS team in compliance with the local SOPs and Global guideline
Understands the organizational operation process for improving efficiency, accuracy, and productivity of works
Supports senior leaders in order to help them focus on their priorities.
Proficient in using the digital and AI tools, simplifying works for faster delivery of the value to our customers in line with organizational objectives
Contracts and Purchase Order Management
Create purchase orders and executes on payment process after the contract process is completed
Monitors the approval and signatures of contractual parties as well as the compliant archiving and contract related documents aligned with company SOP

Safeguard and manage Company / GM / Cluster chop, when appropriate approval is in place.
Compliance & Additional Tasks
Conduct all business activities in full compliance with Roche Secure, Roche Behavior in Business, Roche Competition Law Interactive Dialogues, and Roche Safety, Security, Health, and Environmental Protection policies, while demonstrating a solid understanding of compliance requirements and upholding the high standard of integrity.
Perform other tasks as assigned by the line manager.
Who you are
Qualifications:
At least 7 years’ working experience in multinational companies
Education:
Bachelor degree or above
Skills & Knowledge:
Fluency in written and spoken English
Strong computer skills (e.g. gMail, gDrive, google chat, Gemini+, Internet, etc.)
Good communication / interpersonal skills
Demonstrate effective time management and organizational skills
