Job description:

General Role Purpose:

The Travel Officer is responsible for coordinating and administering employee travel arrangements in line with company policies. The role ensures cost-effective, compliant, and efficient travel support while delivering a positive employee experience.

Qualifications:

  • Proven work experience as a Travel Agent.

  • Knowledge of computer reservations systems, and e traveling.

  • Fluency in English; multilingualism is a plus.

  • Strong sales skills and commercial awareness

  • Ability to interact, communicate and negotiate effectively.

  • Sound knowledge of domestic and international travel trends.

  • Degree in Hospitality, Travel, Tourism, Business or relevant field.

  • Communication and interpersonal skills.

  • Organizational skills and attention to detail.

  • Time management skills with a proven ability to meet deadlines.

  • Ability to function well in a high-paced and at times stressful environment.

  • 2–4 years’ experience in travel coordination, HR administration, or shared services

  • Experience working with travel management companies and booking platforms preferred

Core Specific Responsibilities:

  • Arrange domestic and international travel for employees, including flights, accommodation, visas, and ground transportation.

  • Coordinate travel bookings through approved travel management companies or online booking tools.

  • Ensure travel arrangements comply with company travel and expense policies.

  • Monitor adherence to travel policies and escalate non-compliance where necessary.

  • Support cost optimization by selecting cost-effective travel options and approved vendors.

  • Maintain accurate records of travel bookings and approvals.

  • Act as the main point of contact for employee travel-related queries and changes.

  • Provide guidance on travel policies, visa requirements, and travel documentation.

  • Handle last-minute travel changes, cancellations, and emergency travel support.

  • Liaise with travel agencies, airlines, hotels, and other service providers.

  • Coordinate with HR, Finance, and line managers to ensure approvals and budget alignment.

  • Maintain accurate travel data and documentation.

  • Support reporting on travel spend, usage, and compliance.

  • Assist with audits related to travel and expense management.

  • Support duty-of-care requirements by ensuring travelers have appropriate insurance and emergency information.

  • Monitor travel advisories and communicate risks where applicable.

  • Distribute passenger manifests and transfers bookings to required persons.

  • Provide support for our ‘internal customers’ with their travel needs.

  • Carry out market survey, benchmarking in cooperation with Line Manager

  • Understand and contribute to the success of the department's assigned Key Business Indicators.
