The Role
The Officer, Course and Program Administration (CPA) supports the effective delivery of academic programs at RMIT Vietnam by maintaining accurate course data, assisting with scheduling, and coordinating approval processes.
Working closely with the Registrar’s Group, Academic Schools, and other stakeholders, the role ensures compliance with institutional policies while providing reliable administrative support.
Reports to: Manager, Academic Governance & Systems
Your Responsibilities
Assist with the coordination of the approval process for new courses and programs by preparing documentation and tracking progress through established workflows.
Support the maintenance of academic standards by ensuring course and program information aligns with institutional policies and procedures.
Provide administrative support to schools, departments, and other stakeholders during the course and program approval process.
Update and maintain course and program data in academic systems, ensuring accuracy and consistency across platforms.
Assist with class scheduling and configuration tasks, helping to optimise timetables and resource allocation under guidance from senior staff.
Serve as a point of contact for scheduling-related queries, escalating complex issues as needed and promoting clear communication between teams.
Contribute to the development of user-friendly guides and resources that support course and program administration processes.
Support the creation and maintenance of training materials, ensuring they are accessible and reflect current practices.
Perform other administrative duties as assigned to support the effective operation of the team.
Key Selection Criteria
A bachelor’s degree in education, administration, or a related field, or equivalent relevant experience.
1-2 years of experience in academic or administrative support, ideally within a tertiary education setting.
Familiarity with academic standards, institutional policies, and compliance requirements.
Proficiency in academic systems and databases, with strong skills in Microsoft Office
Demonstrated commitment to high-quality customer service and stakeholder satisfaction.
Strong organisational and time-management skills, with the ability to manage competing priorities.
High attention to detail and accuracy in handling academic data and documentation.
Ability to work independently and collaboratively within a team environment.
Demonstrated alignment with RMIT Values and professional conduct expectations.
Flexibility to take on new tasks and adapt to evolving academic and administrative needs.

Contract duration: 12 months

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent CEST 160).
