Headline Responsibilities
Reporting directly to the Workplace Coordinator, the Office Services Assistant will provide exceptional customer service to both internal and external customers. To go above and beyond, making our guests feel welcome and comfortable. The role holder will show a passionate understanding of our guest’s needs and requirements. The Office Services Assistant is in constant contact with the other WPS team members, employees and customers via telephone, e-mail and other means of communication, providing assistance with a wide array of services.
This role will require a high level of service orientation, as well as a great deal of organizational skill, self-management and networking.
Operational Tasks
Ensure the reception, meeting room areas, customer facing areas and pantries of the office are clean and tidy at all times.
Be the host and key point of contact for internal and external visitors by making them feel welcome and provide any information or support required.
Greet all walk-in guests in a courteous, pleasant, and highly professional way
Ensure guests register in the Guest Management System and receive and display their visitor badge
Offer reception services like taxi booking.
Present and refill stock of food and refreshments and office supplies throughout the day.
Ensure waste separation and disposal and collection is handled as per local regulations, continue optimization of recycling (PET, alu, batteries, paper, landfill).
Support in serving catering upon delivery.
Administrative Task
Supporting employees with meeting room bookings and catering orders through the ticketing system.
Handling incoming and outgoing mail, packages and deliveries, as well as their distribution to the intended recipients.
Checking and working on incoming emails to the team email inbox and personal inbox.
Administration of access badges for team members, visitors and vendors.
Communication to local office community via available channels: phone, email, Slack ect.
Ordering of snacks, office supplies and stationery
Evolving the refreshment program, ensuring variety, and healthy nutrition. Incorporate seasonal specials including their presentation
Check the functionality of kitchen equipment regularly and organize necessary servicing or repairs.
Qualifications:
Work experience in a customer service role
Hotel background (preferred)
Fluent in German and English in spoken and written form
Intermediate-advanced knowledge of Microsoft office (Word, Excel, PowerPoint)
Interpersonal skills:
Excellent communication and team player skills
Polite and confident with a great deal of patience, passionate about service, helping and working with people.
Can-Do attitude, always willing to go the extra mile
Learn and use our internal Salesforce.com applications
Ability to work in a fast-paced environment and meet deadlines
Excellent multi-tasking, project management and organizational skills
