Office of the Registrar - Assistant Manager (Admissions Systems)[What you will be working on]
We are looking for a meticulous and motivated individual to manage and oversee the end-to-end enhancement, testing and rollout of admissions systems supporting Polytechnics and ITE. The role serves as the key liaison between MOE, participating Institutes of Higher Learning (IHLs) and the appointed system vendor to ensure that system enhancements are delivered according to agreed requirements, timelines and quality standards, and are aligned with admissions policies and processes. This position will be on a 2-year contract.
Job Description
• Manage and oversee the end-to-end lifecycle of the system enhancement projects, from requirements gathering through development, testing, rollout and post go live support.
• Keep track of project plans, timelines, issue logs and risk registers to track progress and ensure timely delivery.
• Monitor vendor deliverables against agreed scope, specifications, milestones and service levels.
• Escalate project risks, issues and dependencies appropriately, and recommend mitigation actions.
• Work closely with MOE and IHLs to gather, analyse and document business and functional requirements.
• Translate admissions policies and operational workflows and considerations into clear system requirements.
• Manage User Acceptance Testing (UAT) and coordinate defect logging, triage and resolution with the vendor.
• Support production setup, cutover planning and system rollout activities.
• Monitor system performance post‑deployment and follow through on the rectification of bugs, issues or gaps identified after go‑live.
[What we are looking for]
• Relevant qualification with at least 3 years of relevant work in IHL admissions, IT system projects, system enhancements or project coordination.
• Familiarity with admissions processes, Full Subject-Based Banding, student systems or the education sector would be advantageous
• Strong coordination, documentation and stakeholder management skills.
• Able to work effectively with multiple agencies and vendors, with good follow‑through and attention to detail.
• High level of accuracy in data handling and reporting
