JOB SUMMARY:
The Office Manager is responsible for providing administrative support to the President/Vice President or Director and the management team. Ensuring that all support and service is conducted and fulfilled in a manner consistent with the goals and objectives of the division.

This position requires onsite attendance 5 days per week in Fairfax, Virginia.  
 

DUTIES AND RESPONSIBILITIES:

  • Coordinate and monitor the actions of office administration staff members to ensure communication is consistent and work assignments are completed.

  • Interface directly with customers or residents in responding to and resolving questions, concerns and complaints relating to the affairs of the community/division.

  • Ensure office staff is informed of administrative policies and procedures and reflects status of management functions at all times. Develop and implement office procedures and programs and provide assistance to other managers as required.

  • Research, compile and summarize a variety of management project reports and informational materials. Compose original correspondence, memos and division reports. Interact and make recommendations with other department heads in the preparation of budget and staffing requirements. Also, maintain financial charts and graphs as identified by the (Pres./VP/ Director).

  • Handle the purchase and implementation of office furniture and infrastructure.

  • Conduct new hire orientation for all new employees in assigned area of responsibility.

  • Assist in handling calls and other administrative duties; e.g., typing, filing, etc., when the office workload requires

REQUIRED EDUCATION:

  • Minimum Bachelor’s degree in related field

REQUIRED EXPERIENCE:

  • Minimum 3-5 years’ experience in staff supervision.  

  • Minimum 5 years’ experience with office management, business management, and written verbal task experience

  • Knowledge of Association business affairs and/or community governance.  Hands-on experience with word processing equipment

  • Ability to develop and implement methods and procedures for improving, maintaining, and facilitating personnel processes.  Good organizational skills and delegation ability.

  • Strong verbal and written communication skills

SALARY RANGE:

$85,000 $100,000 annually depending upon experience.

This position is also eligible for an annual bonus incentive based on the successful completion of defined performance objectives.

GENERAL DESCRIPTION OF BENEFITS:
Employees are eligible to participate in the Company’s 401(k) Plan. Employees (and their families) are eligible for medical, dental, and vision insurance coverage. Employees are covered by company-paid disability and basic life insurance. Voluntary insurance coverage options, including critical illness and hospital indemnity, are also available. In addition, the Company offers an Employee Assistance Program and tuition reimbursement (as applicable). In addition to up to 9 paid company holidays per year, employees with less than 10 years of service are eligible for up to 23 paid days off and employees with 10 or more years of service are eligible for up to 28 paid days off. Note that all Sales Consultants, except those in CA, are not eligible for paid time off, but receive the equivalent days in unpaid time off and 8 paid sales holidays. Employees should consult with their local Human Resources Representative to discuss the composition of their available time off, which may differ based on work location and paid sick time eligibility.
