Position Summary:

The Office Manager ensures smooth daily operations of the office environment, making sure employees have a clean and safe environmentThis role serves as the primary interface between our company and its service providers, vendors, and consultants. This position requires great attention to detail, organization, and professionalism, and the ability to maintain an efficient business environment.   

Work Model: 

Flex: This role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that Flex employees are required to be onsite.

Responsibilities:

  1. Greet and check in visitors and vendors as required, directing them to the appropriate person as needed.  
  2. Troubleshoot any office issues and escalate to the appropriate teams as needed. 
  3. Coordinate with the Facilities team to manage all ongoing facilities-related issues, cleanliness of the office space, and office supply replenishment 
  4. Provide human resources support and miscellaneous administrative project support as necessary, ex: monitoring on boarding of new employees to ensure a positive employee experience 
  5. Sort and distribute incoming mail to the appropriate recipients  
  6. Event planning as needed 
  7. Support the legal team to coordinate the preparation, review, and filing of contracts, corporate declarations, and other relevant documentation 
  8. Act as a key point of contact between the legal & compliance function, internal departments, and external partners to facilitate smooth communication and efficient resolution of legal and administrative matters. 

Requirements:

  1. Secondary Diploma, Bachelor's degree preferred  
  2. Proficiency in Windows operating systems, Outlook, Word, Excel, and general office equipment 
  3. Ability to multitask with several priorities and maintain a high standard of discretion and confidentiality 
  4. Excellent communication and interpersonal skills 
  5. Flexible, confident, and driven toward results 
  6. Ability to work with minimal supervision 
  7. Experience working in the biotech/pharma industry preferred 
  8. Ability to fluently speak German and English
