We believe a great workplace experience starts the moment someone walks through the door. As our Office Manager in New York, you’ll own the day-to-day running of our office and be the engine behind a professional, well-run, and people-first environment.
This is a hands-on role with real responsibility. You’ll be the go-to person for office operations, facilities, onboarding, IT coordination, and first impressions supporting our US team while staying closely aligned with colleagues in the UK.

What You’ll Be Doing
Front of House & Office Operations
Own the Front of House experience, ensuring a warm, professional welcome for guests and colleagues.
Conduct new joiner office inductions, including health & safety, fire procedures, and workspace orientation.
Manage courier services, mail handling, and general office logistics.
Coordinate mail and document routing to the UK where required.

Who You Are
You’re an experienced Office Manager who thrives in a fast-paced, professional environment. You’re organised, calm under pressure, and naturally take ownership.
You’ll bring:
Proven experience managing office operations, facilities, and vendors.
Strong organisational and problem-solving skills.
Confidence working independently while collaborating closely with remote teams.
Experience coordinating onboarding, IT logistics, and access management.
High attention to detail and a proactive mindset.
Experience in financial services or a regulated environment is a strong advantage.

IT, Onboarding & Access Management
Partner with OakNorth’s UK IT team to manage laptop provisioning, deactivation, and day-to-day IT support for the New York office.
Coordinate onboarding and offboarding in collaboration with People Operations and IT.
Maintain IT inventory, hardware tracking, and associated expenses.
Manage office access cards, ensuring accurate records of issued and returned passes.
Provide diary management and scheduling support where needed.
Loan Documentation & Custodian Coordination
Coordinate the secure sending of loan documentation to the storage custodian, following established guidance and controls.

Health, Safety & Compliance
Ensure the office remains compliant with health and safety requirements and free from hazards.
Carry out regular safety checks and liaise with building management.
Maintain inspection records and incident logs.

Facilities Management & Projects
Act as the primary point of contact for all facilities matters.
Manage external vendors including cleaners, maintenance providers, and plant care.
Work closely with building management on repairs, access, and general upkeep.
Maintain facilities documentation, including contracts, certifications, and maintenance logs.
Build and manage a proactive maintenance schedule to minimise disruption.

Reporting & Continuous Improvement
Provide regular updates to leadership on office operations, compliance, and issue resolution.
Identify and implement improvements that enhance efficiency, employee experience, and collaboration between the New York and UK offices.

Reporting Line
This role reports to the UK-based Facilities Director, with a dotted line to the New York Site Lead Director.

Location & Working Pattern
This role is based in OakNorth’s New York office and requires regular on-site presence.
