Job Summary

We are seeking a highly organized and dynamic Office Manager to join our Human Resources (HR) team. This role is essential for ensuring the smooth day-to-day operations of the HR office while providing support in managing HR-related activities and special event planning. The office manager for human resources is responsible for the operational aspects of fiscal, purchasing, employment and payroll administration. The ideal candidate will have a strong attention to detail, excellent communication skills, and the ability to multitask effectively.

Essential Job Functions and Performance Indicators

Job Responsibilities and Execution

  • Prepares, submits, summarizes and communicates budget information for the assigned area
  • Prepares and maintains internal accounting records and other duties related to fiscal administration, including receiving purchase orders, maintaining p-card information, and reconciling purchases
  • Establishes and maintains systems for administration of academic records for the area, including electronic files, records, and databases
  • Arranges and coordinates travel for department staff, faculty, incoming guests, and speakers
  • Fulfills purchasing requirements for assigned areas
  • Maintains data entry for University systems
  • Manages HR-related administrative duties, including scheduling meetings, handling correspondence, and maintaining HR documentation
  • Coordinates HR supplies, equipment, and office space needs
  • Assists in the planning, coordination, and execution of company events, such as team-building activities, holiday parties, and employee recognition events
  • Manages event logistics, including venue selection, catering, transportation, and event materials

Service Excellence

  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values
  • Greets visitors, answers phones, responds to email, forwards messages and confirms appointments

Communication, Teamwork, and Collaboration

  • Composes and prepares written documents and correspondence for the office, including memos, letters, presentation, and spreadsheets
  • Prepares brochures or web site content for communication within internal departments or external audiences

Job may require other duties as assigned.

Required Qualifications – An equivalent combination of education, training, and experience will be considered. Additional requirements may be designated by position.

  • Bachelor’s degree
  • Minimum of 3 years’ experience in an office or administrative capacity
  • Experience working effectively with diverse populations and using critical thinking skills preferred
