Ferring+You
We are looking for an Office Manager to ensure that daily office operations run smoothly, efficiently and in full alignment with our business needs. This role is responsible for managing office processes, facilities, suppliers and administrative workflows, ensuring a high‑quality service to employees and visitors. It also supports Senior Management in regular administrative tasks with a high degree of autonomy.
Your day at Ferring
Office & Facilities Management
Define, optimize and oversee office and facilities management procedures across all areas to ensure maximum efficiency and quality of service.
Manage office routines such as “work in the office rules”, office supplies, inventory and expenditures.
Ensure proper handling of office contracts and internal communication related to facilities and administration.
Oversee daily cleaning routines, extra cleaning requests, maintenance needs, ticketing systems and overall building operations.
Manage space planning, office calendar, headcount control, visitor processes and tools (e.g., Pronestor, SharePoint).
Vendor Management
Manage relationships with office, facilities and general support suppliers.
Conduct service briefings, analyse proposals and recommend selected vendors.
Fleet Management
Manage company cars in accordance with internal policies.
Budget Management
Track and follow up on Office & Facilities budget, resources and costs.
Prepare regular forecasts and reports.
Travel & Events
Organize travel arrangements for local staff when required.
Plan and execute internal and external events, meetings, conferences and visits.
Documentation & Mail
Manage general documentation (correspondence, invoices, contracts, archives).
Ensure accurate filing and timely uploading of documents into required systems.
Handle mail distribution and office-related expense claims.
Employee-related support
Support pre‑onboarding, onboarding and offboarding processes
Maintain internal lists, distribution lists and employee information updated.
Behind our innovation…There’s you
3–5 years of experience in a similar role.
Strong administrative and organizational skills.
Problem‑solving mindset and sound decision‑making.
Ability to prioritize and work effectively with diverse groups.
Strong communication skills, customer orientation and relationship‑building ability.
Team‑player, proactive and solution‑oriented.
Proficient English for daily operations.
Solid knowledge of: Microsoft Office (Outlook, SharePoint, Teams, Excel, PowerPoint) – mandatory
Good knowledge of: digital collaboration tools (e.g., Loop, Notebooks), Pronestor, Canva, AI tools, photo/video editing tools, and travel & procurement systems (e.g., Coupa, Concur) – nice to have
