Reporting to the Director of Mental Health, the Office Coordinator is responsible for providing administrative support for the professional staff in the office of Mental Health Service. The Office Coordinator is the initial point of contact for clients and guests, provides appointment scheduling, manages fee charges related to eligibility, oversees travel arrangements, supply procurement, inventory management for the unit, oversees student workers and provides needed administrative support for clinicians and interns. The Office Coordinator should be committed to investing in the integrated care model and advancing the Student Affairs divisional priorities, and a working relationship with Our Lady of the Lake Health.
Job Responsibilities
Student Support - 55%
Serves as the initial point of contact for students and guests; provides front desk coverage during hours of operation; greeting students and assisting with check-in; answers phones; schedules student appointments; educates students about policies and procedures.
Administrative Support - 25%
Manages reservations of group/conference room, manages provider calendars and internal referrals to maximize patient access; distributes relevant communication to providers and staff; arranges ambulance transports upon request of staff; monitors unit email and secure electronic fax line; processes unit billing/fees; verifies student eligibility and receives/processes internal referrals.
Student Employee Supervision - 10%
Recruits, hires, trains, and supervises student employees; verifies work times and attendance; ensures efficiency and accuracy of work performed; delegates tasks based on workload; performs performance evaluations in consultation with appropriate professional staff.
Quality Control - 5%
Supports accreditation and quality improvement efforts and collaborates to implement improvements that maximize student access and enhance administrative functions; updates and organizes current manuals and paper and electronic files; maintains inventory of educational materials and supplies.
Other Duties as Assigned - 5%
Performs other duties as assigned. Supports broad divisional/institutional efforts including at least 40 hours per year helping with initiatives such as Move-In Day, Welcome Week, Family Weekend, Career Expo, Disability Services Finals Testing, and other special projects.

Due to the nature of this position and/or position responsibilities, this position shall be subject to drug/alcohol testing in accordance with University Policy Statement 67.
In accordance with University Policy Statement 18, this position is considered essential and may be required to report to stay on campus in the event of an emergency closure.
Ability and willingness to work occasional nights and weekends.
