Job Description:

The Office Assistant provides reliable back-up front desk and administrative support during busy times or when the main receptionist is absent. This role assists in keeping daily operations running smoothly and ensures employees, visitors and callers are greeted with professionalism. The Office Assistant must be personable, organized, and able to pick up and drop multiple tasks at any time. They must possess effective communication skills and be customer service-oriented and adaptable to changing priorities.

Front Desk

  • Provides front desk coverage during the receptionist’s breaks, absences, and after their departure, through the end of the business day.

  • Answer and direct incoming calls.

  • Greet guests and clients.

  • Process incoming and outgoing FedEx and mail.
     

Operations

  • Maintains kitchens – loading and unloading the dishwashers, cleaning equipment as needed, restocking supplies, and resetting at the end of the day.

  • Maintains and organizes conference rooms.

  • Assists with office meetings and events – ordering catering, setting up catering & cleaning up after the event.

  • Assist in other duties as assigned, relevant to the achievement of the position’s and team’s objectives.

REQUIRED QUALIFICATIONS

  • 1-2 years of experience in reception, front desk, or similar administrative role.

  • Bachelor’s degree in related degree program, or equivalent work experience.

  • Demonstrated ability to effectively communicate in both verbal and written communication.

  • Attention to detail, strong logistical management, and great customer service.

  • Strong organizational, multi-tasking and time management skills with the ability to manage workload independently.

  • Ability to prioritize and work independently and collaboratively with internal and external customers.

  • Exhibits a positive work attitude, high productivity, and a collaborative approach with internal and external customers to ensure business needs/goals are accomplished.

  • Exhibits proactive thinking and actively seeks opportunities and proposes solutions.

  • Proven ability to handle confidential information with discretion.

  • Ability to negotiate and resolve issues with diplomacy and persuasiveness.

  • General computer skills (including use of Microsoft Office, Outlook, internet search).

  • Must possess a valid driver's license and a satisfactory driving record in accordance with Fortis policy.
     

PHYSICAL REQUIREMENTS

  • Work is performed in a professional office environment. Role is primarily mobile, often standing or walking for long periods of time. Role may stand or walk throughout the office for up to 60 minutes at a time. Utilize standard office equipment such as computers, phones, photocopiers, etc. Communication with internal and external contacts, including speaking and hearing. May occasionally push, pull or lift up to 50 lbs.
     

TRAVEL REQUIREMENTS

  • No travel to regional sites required.

  • All Fortis positions require some level of driving.
