Position Summary:

Florida Atlantic University is seeking an Office Assistant - Boca Raton, FL.

The Office Assistant serves as a key administrative support professional for the College of Arts and Letters, handling daily communications, greeting and assisting walk‑in visitors, coordinating office resources, and maintaining organized records. This role contributes to the efficient functioning of the department and provides responsive support to faculty, staff, and students.

Summary of Responsibilities:

  • Check departmental email throughout the day and respond or route messages as needed.

  • Prioritize tasks and responsibilities for the day.

  • Answer incoming phone calls and route them appropriately.

  • Assist walk-in visitors in a courteous and professional manner.

  • Ensure both printers/copiers are functioning properly and stocked with paper; order toner as needed for both machines.

  • Track syllabi and book orders through Follett and upload syllabi to Wizard.

  • Assist with scheduling conference room reservations through the Dean’s Office.

  • Maintain and update email lists and spreadsheets.

  • File and scan documents accurately and in accordance with university policies.

  • Maintain up‑to‑date logs for keys and equipment.

  • Submit supply orders.

  • Submit Owl Card access requests.

  • Assist with setup and breakdown of events, including food-related events.

  • Assist the Office Coordinator and department staff/faculty as needed.

  • Delegate tasks to work-study office aides when appropriate.

  • Other job-related duties as assigned.

Minimum Qualifications:

High school diploma required.

Experience in all Office Suite programs required.

Salary:

$14.00 - $16.00 per hour.

College or Department:

OPS - A&L: English

Work Days and Hours:

Monday - Friday, part time 29 hours per week.

This is a part time position.

Temporary positions are not established positions and are paid from OPS funds. Temporary positions are usually not eligible for benefits and retirement; however, they may be eligible for health insurance coverage depending on the average hours worked per week. They provide full-time or part-time employment in an exempt or non-exempt employment situation based on job duties and salary in accordance with the Fair Labor Standards Act (FLSA). Temporary positions do not have layoff rights and may be terminated without prior notice.
