The Role

 

We are looking for a proactive and highly organised Office Administrator to support the smooth day-to-day running of our London office. This role is central to creating a welcoming, efficient and well-managed workplace, acting as the first point of contact for visitors and a key support function for employees, suppliers and internal teams.
 
The Office Administrator will be responsible for office operations, facilities management, health & safety coordination, travel and logistics, and supporting new starters from day one. Working closely with Finance, Building Management and external suppliers, this role ensures the office environment is compliant, fully stocked, well maintained and aligned with Techary’s culture and standards. You’ll also assist with events, office moves and wider administrative projects, making this a varied and hands-on role based in our London office.

 

Key Responsibilities:

 

  • Act as the first point of contact for the office, greeting visitors and ensuring a welcoming environment
  • Manage and order office supplies and inventory, ensuring the office is fully stocked at all times
  • Order office equipment and branded uniform for new starters
  • Send internal business communications to the office when required
  • Provide general administrative support across the business
  • Manage company vehicles, including MOTs, servicing, repairs and fines
  • Coordinate international travel bookings
  • Book Enterprise rental vans, manage congestion and road charges, and handle related communications
  • Liaise with building management and coordinate office maintenance and repairs
  • Schedule and manage annual compliance checks, including PAT testing, fire safety, roof maintenance, coffee machine and Billi tap servicing
  • Create and maintain process guides on the internal wiki 
  • Ensure the office remains clean, tidy and well organised
  • Support the planning and organisation of company events
  • Maintain stock levels of branded Techary merchandise and uniforms
  • Track health & safety training requirements and book staff onto relevant courses, including mental health training
  • Coordinate pest control services across all office locations
  • Liaise with suppliers to support budget control and cost management
  • Arrange new starter headshots
  • Set up new starters’ workspaces ahead of their first day
  • Raise purchase orders and liaise with the Finance team as required

 

Essential Skills:

 

  • Strong organisational skills and the ability to manage multiple tasks in a busy office environment
  • Good written and verbal communication skills, with a professional and friendly approach
  • A proactive attitude with a willingness to learn and take ownership of tasks
  • Good attention to detail and ability to follow processes accurately
  • Comfortable using Microsoft Office tools (Outlook, Word, Excel, Teams)
  • Ability to work well as part of a team and build positive working relationships
  • Reliable, approachable and confident acting as a first point of contact for visitors and staff

 

Desirable Skills:

 

  • Previous experience working as an Office Administrator, Office Coordinator or similar role
  • Experience with facilities management, suppliers or building management
  • Basic understanding of health & safety procedures or compliance checks
  • Experience booking travel, managing logistics or coordinating events
  • Familiarity with creating simple process guides or documentation (e.g. Confluence or similar tools)
  • Experience raising purchase orders or working with finance systems
  • Experience supporting new starters or office moves
