The MRI Scheduling Coordinator’s primary responsibility is to perform a variety of duties necessary for the courteous and efficient scheduling patient MRI exams under the direction of the MRI Scheduling Supervisor/Client Services Facilitator
Job Description:
Essential Duties & Responsibilities including but not limited to:
- Answer all incoming calls that are directed to our main department number.
- Monitors the MRI Support voicemail, CD and MRI report request line.
- Maintains a “READY” state in the ACD phone system and answers ACD calls promptly.
- Schedules patients with all MRI orders that have preauthorization from the Front Desk Orders report and/or from our MRI Scheduled Orders Workqueue.
- Documents in detail all patients’ medical history and obtains detail information concerning any potential contraindications that may need to be researched.
- Documents in multiple fields in EPIC in detail and recognizes the workflows of all colleagues in the MRI department to ensure that the correct documentation is complete and accurate as well as available to all so that the MRI is scheduled correctly and will be researched properly.
- Processing incoming faxes via Rightfax by transcribing orders into EPIC.
- Adhere to protocolling scripts according to the MRI protocol book as well as with the MRI radiologist at order entry and during screening the patient.
- Importing/scanning outside orders and medical op-notes into EPIC.
- Validating patient paperwork for all MRIs that are scheduled to ensure all MRI screening requirements have been satisfied prior to the MRI appointment.
- Obtains and verifies all demographic and health insurance information including copay from the patient as well as from our real time eligibility system in EPIC and/or referring physician’s office.
- Coordinates the scheduling of all specialized scans and patient populations, i.e. inpatients, arthrograms, sedated patients, and pediatric cases.
- Provides proper patient preparation for each patient at the time the MRI scan is scheduled.
- Coordinates courteous interactions between the MRI Dept., hospital departments and physician offices.
- Contacts taxi service, ambulance and interpreter service when necessary.
- Readily assists patients that call to verify MRI arrival time, scan time and location.
- Updates computer files when patients do not keep their appointments or are not able to be scanned (i.e. claustrophobic).
- Corrects any problems or unfinished business from the previous shift.
- Expedites the processing of patient accounts in coordination with the Coding/Pre-Registration staff by completing a full EPIC Registration on all patients that are scheduled as well as processing Patient Work queues to ensure all registrations are complete and accurate.
- Processes “no show” and “same day reschedule” patients daily.
- Confirm patients for scheduled MRI’s and/or patient with special instructions.
- Advises the technologist/radiologist of any patient request and/or referring provider’s preference/requests.
- Assists with training of new employees.
- Reads and responds to all e-mails appropriately and in a timely manner.
- Completes special projects as requested by management.
Minimum Qualifications:
Education:
- High school graduate required. Advance education preferred.
- Knowledge of PC computer systems, ability to learn basic scheduling software and work with word processing applications.
Licensure, Certification & Registration:
Experience:
- 4-5 years’ experience in a fast-paced health care medical facility setting preferably in registration and scheduling.
Skills, Knowledge & Abilities:
- Typing speed 65 WPM, third party payor knowledge and insurance background required.
- Self-motivated
- Medical terminology
- Must have excellent written, verbal and telephone communication and organizational skills.
- Must maintain a professional manner and appearance.
- Must be able to work independently as well as in a team.
Pay Range:
$21.00 - $28.26
The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law. Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable to the position and in accordance with the law.
