What you will do
The Major Projects Project Coordinator provides direct program support to Major Projects Operations leaders by maintaining audit-ready documentation and an orderly flow of information. This role prepares integrated program status updates (milestones, dependencies, cost inputs, and risk items), validates reporting inputs, and coordinates governance and stakeholder meeting logistics and follow-through. The Project Coordinator maintains key tracking logs, proactively escalates overdue or unclear items, supports cross-project coordination with Install Managers and Project Managers, contributes to workflow improvements and standard procedures, and assists with tool and financial training as needed.
How you will do it
Maintain project documentation (folders, naming conventions, version control) to ensure accuracy and audit readiness.
Prepare integrated program status updates for Major Projects Operations leadership, including schedule milestones, cross-project dependencies, cost inputs, risks/issues, changes, and open actions.
Validate reporting inputs for completeness and consistency across workstreams; flag data gaps, inconsistencies, and items requiring clarification.
Coordinate governance and stakeholder meeting logistics (invitations, agendas, pre-reads, attendee lists) and track follow-up actions through to completion.
Maintain tracking logs as directed and escalate items that are overdue, missing owners, or unclear on next steps.
Support the development and implementation of standard procedures to optimize workflow and promote consistency across Major Projects Operations.
Provide cross-project coordination and day-to-day support to Major Projects Project Managers and Install Managers, as needed.
Assist Operations leadership in delivering financial and tool training to Major Projects Project Managers, as needed.
Coordinate information flow between Operations, Project Managers, Install Managers, and internal support teams to keep priorities, inputs, and decisions aligned.
What we look for
3+ years of experience in project coordination, project controls, or program administration, ideally supporting multiple concurrent projects/workstreams.
Demonstrated ability to work independently with minimal direction, prioritize across competing deadlines, and proactively escalate risks, gaps, and overdue actions.
Proven ability to maintain audit-ready documentation practices (file organization, naming conventions, version control) and ensure traceability of decisions and approvals.
Experience consolidating and communicating program status for leadership (milestones, dependencies, risks/issues, actions, and change items), including reconciling inputs across stakeholders.
Strong attention to detail and data quality; able to validate inputs, identify inconsistencies, and drive timely closure.
Proficient with Microsoft Excel and PowerPoint (tracking, reporting, and executive-ready updates) and strong working knowledge of Outlook/Teams; ability to learn new systems quickly.
Strong written and verbal communication skills, including meeting facilitation support, action tracking, and professional stakeholder follow-up.
High school diploma or equivalent required; associate or bachelor’s degree.
HIRING HOURLY RANGE: $35.00 - 48.00(Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
