Move Coordinator – JLL
What this job involves:
The Move Coordinator serves as the central orchestrator of JLL's office relocation activities, ensuring seamless transitions for employees and teams during small and large office moves. This role combines customer service excellence with project coordination expertise to deliver smooth move experiences while maintaining cost transparency and operational efficiency. As the primary liaison between clients, move vendors, and internal teams, you'll manage every aspect of the move lifecycle—from initial planning through post-move follow-up—directly impacting employee satisfaction and workplace productivity. This position offers the opportunity to work cross-functionally across JLL's organization while developing strong project management and stakeholder engagement capabilities.
Customer Experience Management Serve as the primary contact for new hire onboarding logistics and team relocations. Collaborate with administrators and managers to guide them through move logistics, space blocking, and detailed planning processes while maintaining updated move matrices with comprehensive customer information and technical requirements.
Pre-Move Coordination and Planning Assess workspace conditions and coordinate furniture preparation, including ordering missing parts and managing ergonomic adjustments. Receive and validate move lists to identify potential issues proactively. Review furniture layouts, determine optimal placement for files and storage, and prepare mobile locations and drop-in stations. Distribute move supplies including boxes, labels, pin-ups, and detailed move instructions to ensure teams are fully prepared.
Vendor and Technical Coordination Schedule and manage relationships with move vendors, security personnel, and technical service providers. Coordinate disconnection and reconnection of computers, servers, printers, and phones while communicating desk additions and last-minute seating changes. Submit service tickets for space cleaning, key distribution, and chair placement to ensure spaces are move-in ready.
On-Site Move Execution Maintain on-site presence during all move activities to supervise vendors and support customers throughout the transition. Operate check-in and check-out processes across all locations, ensuring each client reaches their designated workspace. Review completed moves with vendors and coordinate immediate adjustments as needed.
Post-Move Follow-Up and Resolution Deliver welcome communications containing new location information and site services details. Troubleshoot and resolve issues related to lost or misplaced items quickly and efficiently. Schedule vendors for scrap pickup, coordinate furniture recycling or reuse, arrange removal of excess chairs, and organize crate and box retrieval.
Data Management and Administrative Support Update seat assignments following projects and incremental moves to maintain accurate reporting systems. Support special projects and administrative duties that contribute to overall workplace services excellence.
Cost Management and Transparency Maintain transparency and provide reconciliation of all costs associated with move-related activities, ensuring budget accountability and financial accuracy throughout the move process.
Minimum 3 years of experience in a corporate environment demonstrating administrative or coordination capabilities relevant to workplace services, facilities management, or project coordination roles.
Proficiency across multiple information technology tools and platforms, including Microsoft Office Suite, workplace management systems, and communication platforms essential for coordinating complex move activities.
Strong analytical skills with ability to assess workspace requirements, identify potential move complications, and develop solutions that balance customer needs with operational constraints.
Excellent organizational abilities demonstrated through managing multiple concurrent projects, tracking detailed move logistics, and maintaining accurate documentation across various systems and stakeholders.
Professional written and verbal communication skills capable of effectively engaging with diverse audiences including senior managers, team administrators, vendors, and technical service providers.
Proven customer service orientation with ability to remain calm and solution-focused during high-pressure move situations while maintaining positive stakeholder relationships.
Demonstrated attention to detail and ability to manage complex logistical processes from initiation through completion while ensuring accuracy in space assignments, vendor coordination, and post-move reconciliation.
College degree or equivalent educational background that provides foundation for professional workplace services coordination.
Previous experience specifically with office moves, workplace relocations, or facilities management projects that demonstrates understanding of move workflows and potential challenges.
Familiarity with Computer-Aided Facility Management (CAFM) systems, space planning software, or workplace services platforms used for tracking space assignments and move activities.
Basic understanding of ergonomic principles and workspace design standards that inform furniture assessment and space configuration recommendations.
Experience working with external vendors and managing service level expectations in a corporate environment.
Knowledge of basic IT infrastructure concepts related to desk setup, including phone systems, computer connectivity, and printer configurations.
Project management fundamentals or exposure to project coordination methodologies that support efficient planning and execution of move activities.

Shift:
Monday to Friday schedule with occasional overtime required

Estimated compensation for this position:
54,800.00 – 67,000.00 USD per yearThis range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
