Member and Amateur Championship Financial Coordinator

RESPONSIBILITIES (Specific areas of responsibility include but are not limited to):

Responsible for implementing financial processes, including but not limited to purchase requisition processing, invoice processing and budgetary updates, and eventually, placing orders directly with vendors.  Research and resolve vendor payment questions.  Serve as the main point of contact for vendors to ensure all orders are processed, received, and payments are submitted timely and allocated to the appropriate accounts.

Input budgetary and forecasting information into Workday and/or Budgeting tools on an ongoing basis. Audit and analyze variances regarding actual vs. forecasted expenditures monthly.  Discuss and resolve variances with respective Championship Leaders in a timely manner, and work closely with the Finance Department on any adjustments needed.    

Design and maintain operational forms/checklists to track financial procedures (expenses and budgets).  Ensure that all financial processes are organized and procedures are accurate, timely and efficient.  Assist management with special projects, research, meeting agendas, and meeting preparations.

Track invoice payments and be able to provide payment status updates to leadership, of any outstanding payments and/or other pertinent details concerning active purchase orders or invoices. 

Assist with the development of financial analysis and reports as needed.  Assist with Championship Recap financials.

Provide administrative support for PGA Member & Amateur Championships as requested.  Enter expense reports into Workday for PGA Rules Officials working a given PGA Member and/or Amateur Championship.

Assist in the setup and onboarding of new vendors in Workday, ensuring compliance with company policies and efficient integration into the financial system for seamless vendor management.

Collaborate with the accounts receivable team to monitor and track incoming revenue from entry fees, ensure accurate allocation of sponsorship dollars to respective championships, and maintain precise financial records.

Assist Championships teams with operational or administrative duties as requested, including Member, Amateur and Spectator Championships.

Assist with all Championship event shipping and purchasing requirements.

MANAGERIAL RESPONSIBILITY:

 

No supervisory responsibilities.  

FINANCIAL RESPONSIBILITY:

Assist with budget development to ensure expenses are consistently allocated correctly and the budget template is followed.

EDUCATION AND EXPERIENCE:

High School Diploma, Bachelor’s Degree preferred in Finance or related field.

Two years’ related experience in finance, purchasing, operations and/or a business environment.     

SKILLS, KNOWLEDGE AND ABILITIES:

Must have knowledge of business operations with an emphasis in administrative support, finance and/or operations.  Working knowledge of financial systems, such as Workday, preferred.  Working knowledge of Gmail, Google Drive, Google Sheets, and Google Docs. Proven proficiency in the use of Workday HCM (strongly preferred). Basic fluency in artificial intelligence (AI) tools and concepts. This includes using AI to enhance business operations and drive innovation, enabling us to better serve our Members and stakeholders.

Ability to travel up to (possible) 10% of the time.
