Markel, a Fortune 500 company, is seeking a proactive, creative, and detail-oriented Meeting & Event Specialist to support the planning and execution of high-quality meetings and events across the organization. This hands-on role manages logistics, budgeting, vendor coordination, onsite execution, and post-event reporting, while assisting with Markel’s promotional items program and internal online platform.

Key Responsibilities

Event Planning & Execution

  • Provide comprehensive coordination across all phases of event delivery, from planning and logistics to onsite setup, production, and post-event closeout.
  • Serve as dedicated support resource for the team through administrative tasks to enable seamless event operations and team success.

Vendor & Financial Management

  • Assist with RFPs, reviewing event orders, tracking budgets, and reconciling expenses.
  • Coordinate with vendors to ensure services and materials are professional and appropriately reflect high standards.

Branding, Guest Experience & Logistics

  • Create compelling branded event materials and signage to enhance guest experience.
  • Leverage Swoogo Event Platform to streamline event execution and deliver, polished professional event communications and websites.  
  • Prepare essential items such as nametags, gift bags, seating charts, and registration lists.
  • Maintain accurate event documentation and support post-event follow-up to ensure transparency and accountability.
  • Perform additional duties as assigned.

Continuous Improvement

  • Research new event possibilities, propose creative approaches, and champion cost-saving initiatives.

Professional Development

  • Participate in ongoing learning opportunities and contribute to a culture of excellence.

Qualifications

  • Bachelor’s degree required; Hospitality Management, Marketing preferred.
  • Certified Meeting Professional (CMP) designation a plus.
  • 3+ years of corporate meeting and event planning experience.
  • Highly organized, detail-oriented, energetic, and solution-driven.
  • Proficient in Office 365, MS Teams, SharePoint, WebEx; Swoogo experience preferred.
  • Ability to manage multiple priorities, travel overnight, and work occasional evenings/overtime.
  • Richmond, VA-based (no relocation).
  • English required.
