Job Summary: The Coordinator performs secretarial and administrative assignments. They will support continuity of medical staff activities by managing schedules, arranging appointments, travel, meetings, conference calls, and etc.
Minimum Education: High School Diploma or GED.
Licensure, Registration and/or Certification: None.
Work Experience: Minimum one year of related clerical or human resources experience.
Knowledge, Skills and Abilities: Efficient in Microsoft Word, Excel, PowerPoint and Outlook. Ability to work with people at diverse levels within the organization, including physicians. Proficient with office machines, including copiers, fax, dictation and transcription equipment.
Excellent telephone skills and strong interpersonal communication skills. Organized and detail-oriented.
Essential Functions and Responsibilities: Provides clerical support for the President of the Medical Staff and the Medical Executive Committee. Assists with development, enhancement and implementation of communication to the medical staff.
Screens, receives and directs telephone calls. Greets visitors, incoming physicians, residents, students and assists with any requests. Schedules and maintains calendar of appointments, meeting and travel itineraries. Coordinates related arrangements. Serves as a
resource for external and internal departmental inquiries. Maintains and distributes medical staff rosters and responds to hospital credentialing/affiliation verifications. Assists with planning and organizing the annual meeting and resident orientation (processing paperwork, creating badges and
shadowing students). Produces credentialing reports, board credentialing letters and assists with the processing of appointments, reappointments, renewals for credentialing of the medical staff, to ensure compliance with Joint Commission and State and Federal requirements. Enters, collects, posts and reconciles medical staff annual dues, quality letters and ongoing professional practice evaluations (OPPE). Manages department time entry process and orders office supplies. Coordinates and participates in departmental special projects.
Decision Making: The carrying out of non-routine procedures under constantly changing conditions, in conformance with general instructions from supervisor.
Working Relationships: Works directly with patients and/or customers. Works with internal and external customers via telephone or face to face interaction. Works with other healthcare professionals and staff.
