The Medical Operations Specialist will partner with the UK One Medical Team, to provide comprehensive organisational, project management and administrative expertise to ensure compliant and efficient operation and execution of Medical activities carried out in the country.  They will be able to multi-task in a variety of situations and respond in a timely manner to changes in priorities, juggling conflicting priorities to ensure effective coordination with other internal functions.

What You Will Achieve

In this role, you will:

  • Perform administrative duties for the Medical Department, including correspondence, collating reports of project metrics, organisation of medical meetings as well as financial support and management (invoicing, POs (Purchase Orders), Vendor Maintenance etc.) in compliance with relevant SOPs (Standard Operating Procedure), work instructions and local legal requirements.
  • Support the planning, tracking, and fulfillment of the Medical Department’s budget.
  • Partner on MAPP-Navigator projects for Medical Department, i.e. managing external funding, HCP consultancies, advisory boards and Pfizer hosted medical meetings.
  • Collaborate with the medical team to design, develop, and execute medical projects from initiation to close, incl. scoping project requirements, preparation of budget, logistics and operational management
  • Maintain a common filing and archive system for essential medical documents and regularly clean up files and archives, to support efficient and effective localisation of essential medical documents e.g. during audits.
  • Develop and maintain a network with other Medical Operations colleagues across international markets as well as with commercial operations colleagues in-country and regularly exchange best practices and identify areas that could be made more efficient
  • Support and contribute to innovation, simplicity, and continuous improvement projects, and implement changes and new ways of working with both internal and external processes
  • Maintain Org. Charts, Distribution Lists and MS Teams sites, to support efficient and effective communication channels in the Medical Team
  • Be client focused and understand the role of medicals, purpose, structure, and strategic goals.

Here Is What You Need (Minimum Requirements)

Education:

  • High school with 6+ years of experience or BA/BS with <2 years of experience

Experience:

  • For high school graduates preferred a strong relevant experience and for BA/BS graduates limited experience.
  • Experience in customer interaction within the pharmaceutical industry is desirable.
  • Experience with project management is desirable.

Technical:

  • Strong office management and project management skills
  • Proficiency in Microsoft Office, Excel, MS Teams, and project management applications.
  • Excellent organisational, communication, and interpersonal skills, with the ability to build working relationships and collaborate proactively across the organisation and externally.
  • Ability to think strategically and creatively, and take the wider view in decision making
  • Demonstrate a high level of accuracy, efficiency, and attention to detail, working with confidential documents and information
  • Fluent (verbal & writing) in English.
  • High ability to work in a changing environment.
