Summary Job Description
· Congresses and meetings: Organize domestic and international congresses, advisory boards, and stakeholder meetings; coordinate with agencies; prepare physician and sponsorship contracts and track signatures; manage end-to-end electronic business approvals; collect documents for physicians/institutions not defined in SAP and create their profiles; compile documentation and manage Ministry of Health applications for international events; submit post-meeting feedback on time.
· Medical donations: Support Group Medical Managers throughout the donation process; prepare donation letters; coordinate with Region Managers; follow purchasing and electronic business approval steps; direct products to relevant institutions/persons and collect delivery receipts.
· PO reports and invoice follow-up: Review monthly PO accrual reports from Procurement; take necessary actions; inform suppliers; track invoices; identify process improvement opportunities.
· Agenda and administrative support: Coordinate the Medical Directors’ calendar and travel; track calls and documents; submit expenses; manage documentation and stationery requests; respond to ad‑hoc administrative needs while ensuring confidentiality.
· Document archiving: Archive all documents and records both in the electronic database and as hard copies in line with procedures.
· Formatting and listings: Prepare necessary formatting, listings, and documentation according to local SOPs and procedures.
· Communications routing: Forward incoming faxes, phone calls, emails, and inquiries to the respective contacts to ensure smooth communication between departments and healthcare professionals.
· Meeting logistics for managers: Arrange domestic and international meetings on behalf of department managers and coordinate all logistics operations for department meetings.
· Department procurement: Execute the department’s procurement processes in collaboration with the Procurement team; collect quotations, ensure delivery of purchased materials and information to the right contacts, and keep accurate records per procedures.
· Cargo, courier, and supplies: Coordinate cargo and courier operations and manage stationery supply requirements for the department. Archiving all documents and records in electronic database and as hardcopy according to procedures,
