Purpose:
To provide full executive support to CEO, across all business activities and support with day-to-day operations, business planning activities and engagements. As an integral and influential support to the CEO, you will be expected to ensure day-to-day activities run smoothly through excellent and proactive administrative support. Actively participate in team discussions, display inclusive behaviours, and contribute towards a working environment where it is safe to speak up on any topic, different views and perspectives are valued and everyone is trusted and empowered.
Accountability:
Work closely with Executive Leaders and the Country Chair’s Office.
Monitor CEO’s social media account (especially LinkedIn), ensuring timely engagement and circulation of posts in alignment with ER team.
Participate in and complete all required trainings within designated timelines, maintaining compliance with organizational standards.
Ensure adherence to HSSE policies, embedding them into daily operations, corporate events, and all ways of working.
Provide support for family-related travel documentation requirements, coordinating with relevant internal and external stakeholders to ensure smooth arrangements, such as visa requirements, accommodation etc.
Actively contribute to corporate events by serving as a committee member, supporting planning and coordination
Provide effective, efficient, and pro-active administrative support, dealing with matters of a highly confidential nature.
Manage and maintain complex diary coordination through planning, coordinating, and arranging internal and external meetings, considering purpose, importance, impact and complex boundaries and interfaces. Updating meeting schedules, resolving conflicts well in advance, and coordinating pre-reads in Diligent in a timely way.
Arranging detailed and accurate logistics for forthcoming travels, including proactive and timely arrangements in a cost and business efficient manner.
Preparation of travel itineraries, independently arranging flights, trains, passport renewals, visas, accommodation, and car transport.
Develop and maintain a sound understanding of business activities and objectives to be able to provide required information.
Establish advance planning for the upcoming year’s meetings, global business events, and closed periods. Additionally, coordinate the scheduling of recurring meetings, including weekly and monthly cadence sessions, regular team catch-ups, and performance appraisals.
Responsibilities include agenda planning, ensuring timely distribution of pre-read materials and presentation content, facilitating meetings as required, and securing meeting logistics such as room bookings, catering, and audiovisual support in advance.
Ensure timely submission of expense claims and Gifts & Hospitality (G&H) entries.
Support financial management activities, including raising purchase orders, verifying departmental invoices, and assisting with the budgeting process.
Manage and utilise Viva Engage as a communication channel. Oversee the maintenance of various distribution lists and Microsoft Teams channels.
