Job Description:
Perkins Coie is searching for a Matter Data Management Coordinator who will work on a small team responsible for ensuring master data completeness and quality throughout the life of a matter (including new matter intake, maintenance, and closing).
The Matter Data Management Coordinator will collaborate with various groups that provide master data inputs, including Attorneys, Financial Operations, Business Operations, Conflicts, Pricing, and others. This role will serve as a subject matter expert for the firm’s rate-related technologies and processes, including Elite 3E rates modules, Rate Navigator, and other specialty software.
ESSENTIAL FUNCTIONS
These essential functions are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation.
Receive and review all incoming matter intake, change, and closing submissions to ensure complete and quality data and coordinate with requesting personnel to address and troubleshoot any issues or questions
Input and/or correct master data in systems of record, including 3E, Rate Navigator, and Intapp (as necessary)
Analyze engagement documentation (i.e., engagement letters and outside council guidelines) to incorporate terms into systems of record
Set up and maintain custom rate agreements at the request of the legal staff, e-billing, billing, and pricing groups
Provide technical assistance and training to the billing team regarding client/matter and timekeeper rates setup and maintenance, and support special technical projects as requested
Perform regular data quality audits on matter-related datasets, identifying inconsistencies, duplicates, and incomplete records
Compile data and develop reports, as requested, to support leadership decisions regarding taking on a new client or matter
Respond to inquiries by telephone and email, conferring with attorneys, legal staff, and business partners regarding client/matter setups, content, concerns, and requests (as necessary)
Perform other duties, as assigned
Be present at work during regularly scheduled working hours and as needed in the position, consistent with the firm’s attendance expectations
SPECIFIC SKILLS REQUIRED
Strong written and oral communication skills
Accurate and fast data processing in Microsoft Word, Outlook, and Excel
Strong attention to detail, efficient organizational skills, and the ability to multi-task
Ability to perform well under pressure of heavy volumes of requests and execute assignments with virtually no direction
Knowledge of the intake, legal billing, and accounts receivable policies and procedures
Work well in a team environment
SPECIFIC SKILLS PREFERRED
Familiarity with standard accounting/billing procedures
Familiarity with standard databases and/or accounting software applications
Elite 3E accounting and Intapp software experience strongly preferred
EDUCATION, LICENSES, CERTIFICATIONS, AND EXPERIENCE
Requires a BA degree and a minimum of 1-3 years of relevant business intake, billing, and/or accounting experience in a professional services firm, or equivalent combination of experience and education.

The listed compensation range reflects the typical pay for this role, though it is rare for new hires to receive an offer at the top of the range. Actual compensation may vary depending on experience, skills, market conditions, and internal equity.
Washington state compensation range: $57,980 to $83,720 annually
