In this position you will manage the full life cycle of goods—from navigating complex customs documentation and processing shipments in Oracle to the hands-on preparation of spare parts and inventory management. This is a unique "hybrid" position that requires both administrative precision and the willingness to be active in the warehouse. We need a proactive problem-solver who thrives on order, excels in a multilingual environment (German/English), and maintains a positive, team-oriented attitude in the face of daily logistical challenges.
This role is the vital link between our products and the healthcare providers who rely on them.
Responsibilities
- Shipping: Pack, label, and prepare medical devices and components according to strict regulations. You’ll create shipping labels (UPS/FedEx/DHL), prepare customs documents, and process everything within Oracle.
- Receiving: Act as the gatekeeper. Inspect incoming goods, apply FIFO (First-In, First-Out) principles, document any damages, and handle all carrier correspondence regarding customs or missing paperwork.
- Transport Coordination: Liaise with parcel services and freight forwarders to ensure timely collections and deliveries.
- Precision Picking: Prepare spare parts for repairs and field service requests.
- System Integrity: Create and transact Move Orders in Oracle and perform regular inventory adjustments and cycle counting to keep our warehouse organized.
- Safety Stock: Proactively maintain warehouse locations and stock levels.
- Medical Device Support: Handle the logistics for loaner devices, test equipment for calibration, and even specialized events like cadaver stations or professional education (PE) sessions.
- Compliance: Maintain flawless records of pack slips, invoices, and certificates. You’ll be a key supporter for our QA and Trade Compliance teams.
- Purchasing: Create purchase requisitions/orders in iProcurement and track them through to approval.
- Financial Accuracy: Match invoices to deliveries and POs, working closely with the Finance team to resolve any discrepancies.
- Develop and maintain excellent internal and external relationships.
- Support the Service Managers/Leaders as required.
- Effectively communicate quality related issues.
- Liaise with other international Service centers for exchange of information, regarding logistical operations.
- Always present a professional image.
- Liaise with internal personnel/departments as requested by the Manager, Technical Support and Field Service.
- Always comply to company QA procedures and Guidelines.
- Comply with all other company procedures and guidelines.
Qualification
- Experience in a similar role, ideally within the medical industry.
- As the position requires international liaisons, good English language skills are required.
