At Brookhaven National Lab our Facilities and Operations group includes the Production Division. The Production Division provides mechanical, architectural, and civil services to build, support and maintain the Lab's infrastructure.

Position Description

The Material Coordinator plays a vital role in supporting facility maintenance and repair operations by planning and coordinating timely material deliveries. This position works closely with supervisors to ensure supplies are available and ready when needed. They will review material lists for accuracy and completeness, and communicates with vendors to schedule deliveries and resolve issues such as delays or shortages. The coordinator also develops contingency plans for late or defective shipments, verifies that received materials meet expectations, and collaborates with inventory and procurement teams to enhance rapid purchasing methods that support ongoing activities.

Essential Duties and Responsibilities:

  • Responsible for acquiring supplies and material in direct support of Facilities & Operations (F&O) requirements. 
  • Works closely with craft supervisors and directly ensures timely readiness, completion, notification and deployment of supplies and material to the end users. 
  • Reviews each bill of material required for general repair and preventative maintenance work orders. 
  • Utilizes various procurement systems (purchase credit card, purchase orders, stockroom inventory withdrawals, E-Procurement, E-Buy catalog punch out system) to initiate purchases.
  • Track progress of orders and updates Maximo Maintenance Management System accordingly. 
  • Contact material suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries and other related problems. 
  • Develop contingency plans for late deliveries and defective materials. 
  • Confirms delivered materials and supplies meet expectations. 
  • Assists craft supervisors in processing returns and coordinating offsite pick-ups and deliveries.
  • Works with Purchasing and Inventory management to create and enhance rapid purchasing techniques to support ongoing activities.
  • Anticipate and establish paths to avoid material supply problems.

Required Knowledge, Skills, and Abilities:

  • Minimum of 6+ years of broad, relevant work experience including but not limited to; purchasing material supplies
  • Experience must also include principles and processes for providing customer service, quality standards for services and customer needs assessments.
  • Experience procuring material and supplies using various procurement methods including, such as credit card, purchase order, punch out catalog.
  • Proficient in Microsoft Excel and Word and conducting effective internet research.
  • Ability to follow written policies and procedures in the execution of daily work.

Preferred Knowledge, Skills, and Abilities:

  • Associate degree in Business, Technology, Mathematics or a related field.
  • Knowledge of trades, material supplies and components (electrical, mechanical, architectural, etc.).
  • Experience with PeopleSoft Financials.
  • Experience with Maximo or an equivalent maintenance management system.
  • Experience requisitioning or procuring material in a government organization.

Other Information:

  • This is a fully onsite position located at BNL.
  • Visa sponsorship for this position is not available.
  • Hours: 8:00 am to 4:30 pm.
  • Must be available after hours and/or weekends to meet project deadlines or requirements.

Brookhaven Laboratory is committed to providing fair, equitable and competitive compensation. The full salary range for this position is $76100 - $104000 / year. Salary offers will be commensurate with the final candidate’s qualification, education and experience and considered with the internal peer group.
