Summary

As an integral member of the Sales & Marketing Team, the Sales and Marketing Project Associate is responsible for providing support to the Glen Eddy Sales and Marketing Department in a timely, consistent, and professional manner. 

The Sales and Marketing Project Associate supports occupancy goals through effective planning of move-ins, move-outs, and internal transitions. Once the prospect has transitioned from the Sales and Marketing team, the Sales and Marketing Project Associate is responsible for coordinating all necessary logistics for a depositor to become a resident or for a current resident to relocate within the community. This includes working with each depositor to understand their specific needs and coordinate move-related activities to ensure those needs are met. The Sales and Marketing Project Associate participates in defined sales and marketing efforts.

Job Duties and Responsibilities

  • Support strategic planning by providing data, depositor/resident/family feedback, and related insights regarding charter benefits and or move-in incentives
  • Sales Data Entry: Ensure timely and accurate updates of all pertinent prospect and sales information is consistently entered in the Customer Relationship Management (CRM) database including but not limited to recording all personal direct and indirect sales activity and admission/move-ins processes and outcomes with prospects, families, and depositors
  • Data Sourcing: All reports should be generated from data within the Customer Relationship Management (CRM) database.
  • Monthly Move-ins and Internal Transitions: Provide the Executive Director a monthly update of actuals and projections regarding new move-ins, internal transitions, and related activities affecting occupancy and census results
  • Communicate to the Executive Director any challenges or opportunities related to internal transitions or new move-ins
  • When requested, acts as the first point of contact for phone-ins from new leads and from existing prospects and walk-in tours
  • Respond to digital/online requests for information immediately or within 4 hours or less/other requests for information before the end of business on the day of the request
  • Meet with sales team member(s) to ensure a smooth transition of the prospect relationship, including meeting the prospect and reviewing their situation and needs in detail
  • Communicate any special needs for the new resident or internal transfer to appropriate personnel, including work with the facilities maintenance department to ensure all changes are completed.
  • Work collaboratively with maintenance and housekeeping to tour all vacated residences using an established punch list to define and schedule changes, repairs, and renovations as appropriate
  • Work in cooperation with operations, maintenance, and housekeeping to ensure available residences are cleaned and renovated within defined timeframes and on budget and are tour ready
  • Personally manage and/or facilitate all appropriate activities related to preparing and supporting the new or transitioning resident, team members, and related constituencies, including all appropriate activities on the day of new move-in.
  • Schedule and facilitates unit turnovers including model turnovers working in collaboration with other team members and in accordance with scheduled sales/campaign opportunities 
  • Obtain a network of related professional resources including but not limited to moving companies, storage facilities, stagers, and transportation options
  • Prepare resident welcome packages, provide residents with resident handbooks, and facilitate a schedule of new resident onboarding by the team
  • Keeps an inventory of all marketing materials to ensure adequate supply is always on hand
  • Communicate with the Senior Living Specialist regarding marketing material inventory placing orders as directed by the Senior Living Specialist
  • Assemble Marketing/Sales packets for sales staff, assuring all documents are updated regularly as changes are made
  • Organize and maintain marketing, sales, event and conference supplies, and application files providing support & assistance at marketing events.
  • Maintain computer and hardcopy files of all collaterals
  • Enter required information regarding new deposits or changes in deposit status in the CRM
  • Execute timely and professional process management for move-ins and internal transitions
  • Maintain confidentiality of all pertinent information to assure client, associate, and management rights are protected
  • Open and maintain move-in and/or internal transition files for each new or transitioning resident Maintain an up-to-date hold/sold board incorporating new move-in details including both actual and projected move-in information
  • Understand and comply with all applicable policies, procedures, and standards
  • Staff liaison to Resident Welcome Committee
  • Participate in Outreach efforts
  • Perform Divisional and other related duties as assigned.

  • Must have operational knowledge of photocopier, FAX, postage meter machines.
  • Must be proficient in the accurate use of computer software including: word processing, spread sheet, and data base programs
  • Must have manual dexterity to use the telephone and office equipment.  Position may require the use of repetitive action, forearm rotational movement, writing, simple grasping, fine manipulating, pushing, and pulling
  • Physical effort includes walking, standing, bending, reaching above shoulders, and lifting up to 30 pounds

Qualifications:

  • 2+ years of experience in Marketing, related field, or equivalent experience
  • Bachelor’s degree in marketing or communications is preferred
  • Customer service/marketing experience required.  Demonstrated ability to always deliver superior customer service.
  • Above average knowledge of Microsoft Office (Excel, Word, PowerPoint) required.
  • Ability to fully utilize and maintain a process for documentation and tracking of prospects within a customer relationship management computer system (CRM).
  • Ability to express complex information in a clear and concise format.
  • Ability to present information to various levels of understanding.
  • Good writing skills
  • Understanding of basic marketing principles
  • Must display a willingness to make collaborative decisions and exhibit sound and accurate judgment.
  • Strong critical thinking, analytic and problem-solving skills.
  • Must be very well organized.
  • Must have ability to work independently as well as work effectively with affiliated teammates
  • Licensed driver with own vehicle for local travel in support of educational seminars and established sales goals

Pay range: $18.50-$24.92

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location
