Marketing Operations & Events Coordinator

Seattle, WA, US Full-time

We are looking for a Marketing Operations & Events Coordinator to support the marketing and events function at VetRec. This person will serve as the organizational backbone for marketing logistics, inventory management, and event coordination — ensuring flawless execution across conferences, team events, and company operations. 

This is a full-time, in-person position based in Seattle, WA (hybrid: 2–3 days a week in the office).

What will you be doing:

  • Conference & Event Logistics: Manage logistics for VetRec’s conference and event presence — travel coordination, shipping of event materials, vendor communication, and on-site support. Partner closely with the Marketing Lead to ensure seamless execution and brand alignment. 

  • Inventory & Swag Management: Maintain and organize all VetRec marketing inventory (swag, printed materials, gifts, and displays). Track stock levels, reorder items, and keep detailed records of what’s stored, where, and when it’s shipped. 

  • Marketing Asset & Vendor Coordination: Manage VetRec’s marketing asset library to ensure all logos, templates, presentations, and materials are current and consistent. Coordinate with printing vendors, swag suppliers, and shipping partners to obtain quotes, track orders, and maintain timelines. 

  • CRM & Contact Management: Maintain clean and organized CRM data. Upload and tag new leads after conferences, update partner contact details, and manage suppression lists. Collaborate closely with Marketing and Sales to ensure updated lists are handed off seamlessly for outreach and follow-up. 

  • Marketing Systems & QA Support: Assist in maintaining quality across marketing automations and campaigns by testing templates, reviewing visuals, and ensuring consistency in sends. Maintain campaign send calendars and assist in tracking performance metrics. 

  • Team Events, Culture, & Onboarding: Support planning and coordination of team events, happy hours, and company celebrations. Prepare and ship onboarding swag for new hires and assist with internal culture or swag initiatives. 

  • Partner Support: Help with shipping materials to partners, maintaining the partner address list, and supporting coordination for partner campaigns.

Specifically for this role:

  • Based in Seattle, WA, available for in-office work 2–3 days per week (non-negotiable). 

  • 0–2 years of experience in marketing, business, event coordination, or operations (internships or part-time experience welcome). 

  • Strong organizational and time management skills. 

  • Excellent communication and follow-up abilities. 

  • Comfortable juggling multiple projects and shifting priorities. 

  • Experience with Microsoft Office and project management tools. 

  • Familiarity with Canva or light creative tools a plus (resizing, formatting templates). 

  • Familiarity with AI tools (e.g., ChatGPT, Notion AI, or similar) or enthusiasm for learning to use them in a fast-paced AI-driven environment. 

  • Eager to learn and grow into marketing operations, event coordination, or brand management roles.

Compensation

  • The base salary for this position is $70,000
