[What the role is]

The National Arts Council seeks Project Managers to join its Visual Arts Department to oversee project management for SAW's flagship event. This role sits within the "Events Management & Hospitality" division under SAW and involves managing the SAW Opening Reception in partnership with key stakeholders.

[What you will be working on]

Event Project Management:

  • Serve as primary liaison with Joint Organisers and Events Management Company
  • Oversee project timelines, deliverables, and budget management for the SAW Opening Reception
  • Manage stakeholder relationships through effective communication and problem-solving to ensure seamless event execution
  • Handle contract negotiations, procurement processes, and vendor coordination

Event Operations:

  • Develop and secure approval for partnership agreements (MOUs) with key stakeholders
  • Coordinate invitations for SAWW members and develop comprehensive event programmes
  • Liaise with vendors and authorities to obtain necessary licences and permits
  • Oversee event setup, execution, and teardown logistics
  • Manage staffing deployment and engage additional event partners as required

VIP and Protocol Management:

  • Coordinate VIP nomination processes across NAC and SAW Workgroup networks
  • Maintain accurate VIP attendance tracking and guest management systems
  • Prepare briefing materials and factsheets for Guest of Honour engagements
  • Collaborate with Protocol teams to arrange high-level meetings and ceremonial activities

[What we are looking for]

  • Strong knowledge of the visual arts sector with at least 5 years of experience in event management, arts festivals, large scale platforms and related events
  • Proven stakeholder coordination and vendor management abilities across diverse industries with excellent communication skills
  • Demonstrated event project management, problem-solving, and organisational capabilities
  • Ability to work independently on multiple concurrent event components whilst adapting quickly in fast-paced environments
  • Experience with event logistics, procurement, contract management, and budget oversight
  • Detail-oriented, collaborative team player who thrives under pressure during high-profile events
  • Prior experience in government organisations, public sector events, or protocol management highly desirable
