Job Description
This position is responsible to study tender, prepare tender compliance, prepare/arrange bid documents, collaborate with multiple stakeholders to drive entire tender process from start till bid submission.
The individual will closely work with Customer, Commercial team, Product management, legal, other regulatory / trade compliance & support functions for timely & compliant execution of the entire tender process.
The position requires multitasking, prioritizing, maintaining records, preparing / presenting tender analytics, working on tender process improvement & contributing towards growth of the tender business.
Responsibilities
Take ownership of tender process & drive the process from start to end.
Responsible for supporting the commercial teams in tender submission and achieving tender revenue target from both online and offline enquiries.
Submission of detailed, costed and persuasive tender proposal to gain business contract/projects.
Administration of tender requirement and contract pricing in collaboration with the commercial team.
Developing and maintaining a strong working relationship with internal and external stakeholder.
Vet through incoming tenders and keep track of tender due date, project start and end date, tender submission instructions/requirement and mode of submission.
Act as the central contact for internal and external stakeholders for tender queries and contract issues. Maintain archives of tender documents and records.
Raise potential risks and issues in relation to the tender process as necessary.
Track, download and upload documentation and work within customer specific portals.
GEM Data regular analysis with product segment wise and win and loss ratio analytics.
GEM business plan for increase in market share and analytics
Ensure tracking of opportunities and live tenders to report and improve win rates.
Facilitate completion of all the tender documentation in a timely manner, proactively secure & maintain database of the documentation regularly required for submission.
Coordinate activities between all functions throughout the duration of the tender process.
Establish standard process and maintain a database / library of Tender/RFP responses to questions focused on the company capabilities. Making connections with functions across the business & continually improve the content.
Co-ordinate the Tender Implementation plan for awarded tenders to secure orders and to drive customer satisfaction.
Bring forward ideas and solutions for continuous improvement, lead process improvement projects.
Build partnerships with key stakeholders and provide front line support for business.
Request from various groups, working independently or with functional analysts, to create reports, data sets and mechanisms to provide visibility to business data.
Creates, refines, and deletes work items in the team backlog to keep it organized, relevant and progressively elaborated just in time.
Works with Product Management, customers, and stakeholders to ensure their wants and needs are backed into the backlog in succinct and plain language.
Document business requirements and business process flows.
Coordinate with SFDC/CRM team for correct reflection of tender business.
Develop system reports using SQL and business model.
Provide floor support to internal and external customer with closure centric approach.
Candidate Requirement
Education & Experience levels: Science Graduate with more than 10 years’ experience in a similar field.
Nature of experience: Tender preparation and start to end tender process management.
Skills: Tender preparation, tender management, knowledge of GeM (Government E marketplace) process, process definition, process improvement, proficiency in MS Office, Excel, Power point, experience of SAP /SFDC/other CRM tool will be an added advantage, good communication and presentation skills.
